Job summary

CCMC is seeking a Clubhouse Team Lead to oversee staff and ensure operational continuity in coordination with the Clubhouse Committee and Property Manager. You will manage invoices, budgets, vendor relations, and member communications while guiding staff and enforcing rules and fees.

Responsibilities include supervising staff, approving activities, handling owner/member issues, and maintaining SOPs, databases, and calendars. Evening meetings and events support may be required.

Qualifications

• High school diploma or equivalent required.
• Two or more years of administrative, customer service, or related experience preferred.
• HOA/community association experience preferred.
• Key competencies include customer service excellence, communication & relationship management, organization & prioritization, attention to detail, problem solving, accountability, time management, and follow-through.

Responsibilities

• Create, delegate, and close action items.
• Manage and approve invoices (Strongroom).
• Obtain multiple bids for charges over $1,000 and present to Clubhouse Committee for approval.
• Work with the Property Manager to budget invoices and run financial reports.
• Approve group activities and rentals per rules and fee schedule.
• Handle Owner, Member and Guest issues, complaints, and compliments; inform the Clubhouse Committee if issues require resolution.
• Respond to emergency communications; delegate to staff as needed.
• Manage petty cash and debit card.
• Ensure data for Owners, Members and Tenants is accurate and up-to-date.
• Control access to the Clubhouse as required; delegate to staff.
• Maintain the Clubhouse SOP and password list for software.
• Maintain calendars for Clubhouse and operations; delegate as needed.
• Hire, train, and schedule Clubhouse staff in consultation with the Clubhouse Committee.
• Identify, evaluate, hire, and retain vendors within budget; obtain Clubhouse Committee approval for budget changes.
• Create RFPs as needed and coordinate with committees and working groups.
• Provide reports and newsletters to inform Clubhouse members.
