Thousand Branches Wellness in Tulsa, OK is seeking a Clinical Office Specialist to manage daily workflows, onboarding staff, and billing support while assisting the Clinic Director. The COS coordinates patient interactions, documents, and office operations in a fast-paced setting.

The role includes receptionist duties, supply management, and ensuring compliance with company policies and regulatory standards. Remote support to OKC and Omaha is possible as needed.

Qualifications

• High school diploma required; bachelor's degree preferred.
• 1-3 years of healthcare or related field experience required.
• Experience with a multi-line phone system is preferred.
• Experience placing supply orders and tracking inventory is desirable.
• Strong organizational and documentation skills are essential.

Responsibilities

• Collaborative communication with coworkers, clients and referral sources.
• Organizing and prioritizing workloads to meet deadlines in a fast-paced environment.
• Telephone screening of inquiry calls and scheduling appointments as appropriate.
• Documentation of all incoming inquiry calls and obtaining records from referring agencies.
• Scan patient documents into charts and manage billing-related tasks including co-pays.
• Implement systems to ensure effective communication with clients and referrals.
• Crisis management and verbal de-escalation; assist in waiting area.
• Manage day-to-day schedule, follow up, confirmations and rescheduling.
