Responsibilities

Job description

Responsibilities:

Clinic Operations

• Oversee the day-to-day operations of the medical aesthetics clinic, ensuring smooth and efficient clinic workflow.
• Coordinate appointments, patient flow, treatment schedules and overall clinic operations.
• Ensure clinic SOPs, service standards and operational procedures are consistently followed.
• Monitor clinic performance and identify areas for operational improvement.
• Work closely with doctors and clinic staff to ensure a seamless patient experience.

Team Management

• Lead and supervise the clinic team, ensuring staff performance and service standards are maintained.
• Prepare the monthly staff roster and manage manpower allocation according to clinic needs.
• Monitor staff attendance, punctuality, performance and overall discipline.
• Provide guidance, coaching and support to staff where required.
• Assist with onboarding and training of new team members.
• Address staff-related issues and elevate significant matters to management when necessary.

Customer Service & Complaint Management

• Handle escalated customer enquiries, difficult customers and complaint cases professionally.
• Investigate service issues and work with relevant team members to resolve complaints.
• Ensure appropriate follow-up with customers to maintain a high level of customer satisfaction.
• Identify recurring customer issues and recommend improvements to clinic processes or service standards.

Revenue & Sales Performance

• Monitor clinic revenue and sales performance against monthly targets.
• Track daily/monthly revenue and identify opportunities or concerns affecting clinic performance.
• Work closely with the team to drive revenue and achieve clinic targets.
• Monitor treatment sales, appointments and other relevant business indicators.
• Be accountable for clinic revenue performance, as the Manager's incentive is tied to revenue.

Commission & Administrative Duties

• Calculate monthly staff commissions accurately and in a timely manner.
• Maintain accurate records of staff incentives, commissions and relevant performance data.
• Prepare regular operational and performance reports for management.
• Support other administrative and operational tasks required for the smooth running of the clinic.

• Orchard: Mon & Thurs: 11:30am-7pm, Tues, Wed, & Fri: 10am-8pm, Sat: 10am-3pm
• Tampines:Mon-Fri: 11:30am-9pm, Sat: 10am-7pm

Salary

• Up to $3,500 + Incentives

Requirements

• Minimum 3 years of experience in clinic operations, medical aesthetics, healthcare, beauty or related industries.
• Prior experience in a clinic management, supervisory or team leadership role.
• Experience managing a team and handling staff performance matters.
• Strong customer service and complaint-handling skills.
• Comfortable working with revenue targets, sales performance and staff commissions.
• Strong organisational and administrative skills, with good attention to detail.
• Good communication, leadership and problem-solving skills.
• Able to work independently and take ownership of clinic operations.
• Experience in medical aesthetics or aesthetic clinic operations will be an advantage.
