The Clinic Manager holds full operational leadership for San Francisco locations , directing staffing, scheduling, inventory, and guest experience while ensuring consistent, high-quality service delivery across every client touchpoint. This role builds and owns the standard operating procedures, training programs, and performance systems that support reliable, scalable multi-site operations.
Key Responsibilities:
Operations & Administration
- Direct daily clinic operations across both locations, including scheduling, staffing coverage, and workflow management.
- Develop, document, and maintain SOPs for booking, EMR/charting, service delivery, and compliance record keeping.
- Track key performance indicators — utilization, retention, service revenue — and report on operational performance to leadership.
- Recruit, hire, onboard, and train skin experts, aestheticians, and front-desk staff.
- Own staff scheduling, performance management, coaching, and disciplinary processes.
- Build a culture of accountability, service excellence, and professional development across the clinic team.
Guest Experience:
- Own the end-to-end client experience: booking flow, front-desk standards, service recovery, and escalation resolution.
- Maintain client satisfaction and retention benchmarks through consistent, high-touch service standards.
- Manage inventory levels, ordering cadence, and vendor relationships across both locations.
- Own coordination with outside vendors — social media marketing (content calendar, posting cadence, campaigns) and IT/website (troubleshooting, updates, issue resolution).
- Partner with leadership on budgeting, cost control, and supply forecasting.
Compliance & Risk Management:
- Ensure adherence to medical spa regulatory requirements, OSHA/safety standards, and Medical Director protocols.
- Maintain accurate records for licensing, certifications, and clinical compliance audits.
Qualifications Required:
- 7+ years of progressive management experience in a medical spa, aesthetic medicine, dermatology, plastic surgery, or comparable healthcare/hospitality setting, including at least 2 years leading a multi-site or high-volume practice.
- Proven track record building and scaling operations, SOPs, and team performance from the ground up, not just maintaining an existing system.
- Experience with clinic scheduling, EMR, or POS platforms (e.g., Mindbody, Zenoti, Boulevard, Nextech, or similar).
- Demonstrated success hiring, training, and managing client-facing teams of 10+.
- Strong command of inventory management, vendor coordination, and budget tracking.
- Deep familiarity with HIPAA and medical spa regulatory compliance.
- Flexible availability, including early mornings, evenings, and weekends.
Preferred
- Bachelor degree in Business, Healthcare Administration, or a related field.
- Experience opening or scaling a new location.
- Familiarity with injectables, laser, and aesthetic service menus.
Physical Requirements
- Ability to stand or walk for extended periods and move throughout the clinic environment.
- Ability to lift and carry up to 30 lbs (e.g., inventory, supply deliveries, retail stock).
