Sign D’ Sign is seeking a detail-oriented Client Services Coordinator to act as the bridge between clients, sales, production, installation crews, and leadership. You will manage communications, project updates, estimates, and order entries to keep projects on schedule.

The ideal candidate will be highly organized, able to juggle multiple priorities in a fast-paced setting, and proficient with office software and order-entry systems. Training for Cyrious Control is available for the right person.

• Comfortable communicating with production and installation employees as well as customers.
• Solution-oriented when schedules or projects become challenging.
• Dependable and able to work independently without constant follow-up.

Responsibilities

• Answer incoming client phone calls and emails professionally and promptly.
• Respond to client communications the same business day whenever possible, with a target response time of two business hours.
• Provide clients with accurate project updates and next steps.
• Confirm deadlines and communicate potential scheduling challenges early.
• Help clients understand artwork approvals, deposits, lead times, installation scheduling, pickup dates, and other project requirements.
• Proactively follow up on time-sensitive projects.
• Create and revise estimates and orders in Cyrious Control for house accounts, repeat customers, walk-ins, and incoming requests.
• Accurately enter project specifications including sizes, quantities, materials, due dates, client/site information, artwork/approval status, installation requirements, hardware, and special instructions.
• Make sure production and installation receive complete information to move projects forward without delays.
• Assist walk-in customers and gather information needed to understand their project.
• Prepare estimates and orders when appropriate.
• Coordinate customer pickups and deliveries.
• Ensure required payments and documentation are completed before products are released.
