Job Title: Client Services and Operations Assistant

Full Time Position | Monday- Friday | 9:00-5:00PM

Overview:

We are seeking a proactive, detail-oriented Client Services and Operations Assistant to support our real estate team. This role is crucial to ensuring an exceptional client experience while maintaining the smooth daily operations of the business. The ideal candidate thrives in a fast-paced environment, is highly organized, and can balance administrative tasks, transaction coordination, and light fieldwork with a strong client-first attitude.

Responsibilities:Client Experience & Support
  • Serve as the primary point of contact for clients during the transaction process, providing regular updates and support
  • Ensure clients feel cared for, informed, and supported from contract to close
  • Coordinate client gifting and post-transaction follow-ups
Transaction Coordination
  • Manage listing and buyer transaction files from contract to closing
  • Communicate with agents, attorneys, lenders, and clients to ensure all deadlines are met
  • Submit necessary paperwork to brokers, MLS, and compliance systems
  • Coordinate inspections, appraisals, and closings as needed
Operations & Administrative Support
  • Track and maintain business numbers (appointments, under contracts, closings, etc.)
  • Assist with data entry into CRM and reporting systems
  • Maintain organized digital and physical files for all transactions
  • Prepare and maintain listing documents and signage logistics
  • Run errands, install/remove signs and deliver lockboxes
Executive Assistant Duties
  • Manage the team leader’s calendar and appointment scheduling
  • Assist with email communication and basic correspondence
  • Organize team meetings, maintain agendas, and ensure follow-up tasks are completed
  • Support hiring, onboarding, and internal team communications as needed
Skills and Requirements:
  • Prior experience in real estate, administration, or operations required
  • Strong organizational skills and attention to detail
  • Excellent verbal and written communication skills
  • Client-first attitude with a heart for service
  • Ability to juggle multiple projects and deadlines independently
  • Comfortable with technology (CRM systems, Google Drive, MLS platforms)
  • Reliable transportation and a valid driver’s license (for fieldwork)
  • A solutions-focused mindset with the ability to anticipate needs before they arise
