Job summary

Pillsbury Winthrop Shaw Pittman LLP in Boston seeks a Client Services Assistant to support the Boston office. The role reports to Regional Director of Administration and Regional Senior Manager HR/Recruiting for the NY, Florida, Boston and Middle East offices.

You will handle the main reception desk, provide exceptional client service, coordinate calls, visitors, conference rooms, and assist with travel, expense reports, and other administrative tasks. A 40-hour week in office is required.

Responsibilities

  • Ensure smooth daily operations of the main reception desk with exceptional client service
  • Answer and route calls at the main reception desk
  • Track visitors, assign offices, reserve conference rooms and arrange meals/technology/supplies
  • Provide administrative support: prepare expense reports, check requests, memos, mailings and binders; edit pre-bills; maintain electronic files; assist with travel and meeting scheduling

Job Description

We are seeking to hire a Client Services Assistant to support Pillsbury's Boston office. This position will report to Regional Director of Administration and Regional Senior Manager HR/Recruiting for the NY, Florida, Boston and Middle East offices.

Primary Responsibilities
  • The CSA is expected to ensure the smooth daily operations of the CSA main reception desk which include, but are not limited to, providing exceptional client service.
  • Ensuring that all calls are answered at the main reception desk and routed appropriately.
  • Keeping track of all visitors, assigning offices to visiting attorneys, reserving conference rooms for meetings and associated needs for the meetings (i.e. food, technology, supplies).
  • In addition, this role will provide administrative support on an as needed basis which includes, but not limited to, preparing expense reports, check requests, new business memos, preparing mailings and binders, editing pre-bills, maintaining electronic files, assisting with travel arrangements and scheduling meetings.
Qualifications
  • The candidate must have 3+ years of experience working in a professional services environment.
  • The successful candidate must have strong administrative and interpersonal skills; ability to handle a high-volume desk with extreme accuracy and attention to detail; strong proofreading and solid computer skills are essential.
  • The successful candidate will be a positive self-starter, possess excellent communication/interpersonal skills (both written and oral), a strong work ethic, professional demeanor and attire/appearance are a must, along with an adeptness to handle difficult situations tactfully.
  • Ability to demonstrate initiative and can successfully multi-task and prioritize handling the workload at a very fast pace.
  • The candidate must be able to work well with all levels of staff, attorneys and departments and possess a "can-do"/positive attitude; a team player and can adapt to changing technologies and procedures.
  • The successful candidate will work a 40-hour work week and will be required to be in office 5 days a week. Overtime flexibility required.
  • Candidate must be proficient in MS Office, Excel and Power Point. BA/BS degree preferred or equivalent in experience.
  • May be asked to perform other tasks not mentioned above.

The expected salary range for this position is $75,000 - $85,000. Final compensation will be determined based on several factors, including but not limited to, relevant experience, qualifications, skill set, and geographic location.
