Job description

Job Summary

The Client Service Coordinator (CSC) drives the flow of clients and pets through the hospital, maximizes the productivity of the veterinary medical team, ensures effective communication with associates and clients, and coordinates client and pet care in a welcoming, efficient manner. The CSC influences clients to return and refer others.

Responsibilities
  • Live and exemplify the Five Principles of Mars, Inc. within self and team.
  • Actively recruit new clients by promoting hospital services and routing the flow of clients and pets to ensure superior client care and maximum productivity of the veterinary medical team.
  • Maximize the number of pets seen by the hospital team through productive, efficiently run operations to support wellness‑plan clients.
  • Provide professional, efficient, and exceptional service at all times, welcoming clients and pets, ensuring their comfort, and educating them about pet health.
  • Educate clients about Optimum Wellness Plans, preventative care, pet health needs, and hospital services.
  • Assist incoming clients by completing required documentation, entering all pet information and history into the computer, and using proper collars and tags.
  • Assist outgoing clients by providing instructions, information, and invoices, dispensing prescription items per the veterinarian’s instructions, selling retail products, and scheduling future appointments.
  • Maintain accurate financial records and use proper opening and closing procedures.
  • Conduct administrative functions as necessary and perform other duties as assigned.
Qualifications
  • High school diploma or equivalent (preferred); at least 18 years old for radiography duties.
  • Minimum one year of related customer‑service experience; medical terminology training preferred.
  • Strong verbal and written communication skills in fluent English.
  • Time‑management, priority setting, and multitasking ability.
  • Excellent customer service orientation and problem‑solving skills.
  • Proficiency with Microsoft Office (Word, Excel, Outlook, Access) and specialized software.
  • Knowledge of preventative care and Optimum Wellness Plans is highly desirable.
Special Working Conditions
  • Extended work hours, including weekends and evenings; more than 40 hours per week may be required.
  • Ability to work at a computer for long periods and remain confident around pets.
  • Physical requirements: lift or move up to 50 pounds, stand, walk, stoop, kneel, crouch, and climb as needed.
  • Exposure to pets that may bite or scratch, anesthesia, radiation, biological hazards, and medication/controlled substances.
  • Moderately high noise level and requirement for good hand‑eye coordination and dexterity.

Salary

The pay range for this role is $16.93 - $21.63 per hour, with the specific rate determined by experience, skill level, and education.
