Job description

The Client Relationship Assistant position involves a range of administrative responsibilities, including fund administration, board meeting support, and data collection.

Has limited access to Protected Health Information (PHI) and Personally Identifiable Information (PII) as defined by the role.

Key Duties and Responsibilities
  • Support the client-facing team with administrative tasks.
  • Prepare correspondence, reports, presentations, and meeting notes for internal use or distribution; handle filing, editing, copying, and collating as needed.
  • Maintain records related to disbursement processes.
  • Coordinate meetings and events, including scheduling, catering, and room setup.
  • Assist with analysis and internal reporting to support daily operations; manage data collection for internal audits, including financial, DOL, and operational controls.
  • Handle administrative duties such as invoice processing, payments, filings, and applications.
  • Perform additional duties as assigned.
Minimum Qualifications
  • High level of professionalism, maturity, and integrity.
  • Experience working collaboratively in a team environment.
  • Effective communication skills across all organizational levels in a matrixed environment.
  • Ability to manage multiple projects efficiently in a fast-paced setting.
  • Strong decision-making and organizational skills, with resource optimization and priority management.
  • Attention to detail and excellent organizational skills.
  • Effective time management to meet deadlines.
  • Excellent verbal and written communication skills.
  • Proficiency in MS Office applications.
Preferred Qualifications
  • Experience in administrative roles related to communications, marketing, or client management.
  • Experience in healthcare or third-party administration.
  • Knowledge of Taft Hartley organizations.
  • Experience in client services or customer management.
