Job summary

Etherio is seeking a Program Logistics Coordinator in Atlanta to own day-to-day training program operations for clients. You’ll manage registration reports, coordinate travel and onsite logistics, handle vendor partners, and resolve issues in real time so attendee experiences are seamless.

You will also keep data clean, reporting tight, and continuously look for ways to improve how we deliver. This role focuses on cross-functional collaboration and process improvement across events and programs.

Responsibilities

• Coordinate end-to-end logistics: air, ground transportation, and hotel blocks; manage rooming lists and cut-off dates.
• Produce accurate reporting: daily/weekly registration dashboards; rooming lists; monthly, quarterly, and annual program reports.
• Prepare participant materials: name badges, agendas, welcome communications, travel itineraries.
• Communicate clearly with participants and hotels to confirm accurate travel, room, and program details.
• Deliver high-satisfaction support: troubleshoot and resolve participant issues with speed, empathy, and program knowledge.
• Manage vendors and partners: maintain strong relationships with hotels, transportation, and food vendors; support rate/terms negotiations and service delivery.
• Conduct unannounced service checks to assess vendor performance; document findings and drive corrective actions.
• Maintain data and support invoicing with accurate headcounts, room nights, and change logs.
• Track program SLAs, budgets, and timelines; flag risks early and execute mitigation plans.
• Collaborate on special assignments and cross-functional projects as needed.
• Contribute to SOPs, playbooks, and continuous improvement across tools and workflows.
