Job summary

Apex Systems is seeking a Client Onboarding & Conversion Project Manager for a 12-month contract with potential to convert to FTE. Location options: Lake Mary, Florida or New York City, with 4 days onsite.

You will manage complex onboarding projects, oversee 3–5 launches at a time with a 12-week implementation cycle, coordinate with internal partners and clients, and deploy governance and tracking to meet onboarding timelines.

Qualifications

• Bachelor’s degree or the equivalent.
• 5-10+ years of total work experience preferred.
• Project Management Certification is strongly preferred.
• Experience in client-facing and/or project management roles is strongly recommended.
• Strong Excel skills.
• Ability to coordinate multiple internal teams toward deadlines.

Client Onboarding & Conversion Project Manager

12 Month Contract with potential to convert FTE

Location: Lake Mary, Florida or New York City – 4 days onsite

Pay Range: $40-48/hr - W2

Responsibilities

• Responsible for project/program management of complex projects and programs for new business.
• Project Managers will typically oversee 3–5 client launches at a time, with a standard implementation timeline of approximately 12 weeks, although individual launches may be completed more quickly
• Collaborates with internal Key Partners and clients to facilitate the conversion of new client’s assets, processes, and procedures from current custodian(s)
• Deploys full program governance with standard artifacts to track project plan assignments.
• Coordinates the planning, scheduling, reporting, and issue / risk tracking, escalates project/program risks to management and works with internal and external stakeholders to meet target onboarding/conversion timelines.
• Lead Client Conversion and Change improvement initiatives.
• Provides leadership and recommendations for overall success of complex onboardings/conversions to ensure the highest quality of project delivery and client satisfaction
• Collaborates with firm-wide resources (Operations, Product, Technology, Legal, etc.) to ensure client onboarding/conversion needs are being addressed and ensures alignment across teams
• Proactively manages client expectations by evaluating scope creep, material project changes, and customized operating models
• Deploy project governance and standard tracking tools to monitor assignments, identify potential risks, elevate issues to management, and keep complex implementations on schedule.

To be successful in this role, we’re seeking the following:

• Bachelor’s degree or the equivalent
• 5 -10+ years of total work experience preferred
• Project Management Certification is strongly preferred
• Experience in client-facing and/or project management roles is strongly recommended
• Strong Excel skills
• Ability to coordinate multiple internal teams and drive accountability toward shared implementation deadlines.
• Project Management Certification is strongly preferred.

Preferred Experience

• Experience within financial services, financial markets, or the fund industry.
• Background in alternative investments, hedge funds, private equity, fund accounting, or investor services.
• Experience with transfer agency or related fund operations.
• Previous experience in client onboarding, implementation, conversion, or new business launches.
• Experience working with titles such as Onboarding Project Manager, Implementation Project Manager, Conversion Manager, or similar roles.
• Previous experience managing client-facing implementations involving multiple internal teams, systems, and operational dependencies
