Job summary

FBT Gibbons LLP is seeking a strategic Client Intake Manager to lead the daily operations of the firm’s Client Intake Department, ensuring timely processing of new business intake and conflicts matters while driving operational excellence and client service.

The ideal candidate will have proactive leadership with conflicts/risk management experience, strong communication and problem-solving skills, and the ability to mentor teams across offices and practice groups.

Qualifications

• Bachelor’s degree preferred.
• 4+ years overseeing client intake or related operations in a law firm.
• 3+ years of research experience; Intapp and Aderant a plus.
• Proficient with Microsoft Office and database programs.
• Experience managing high-volume intake across multiple offices.
• Strong understanding of client intake, matter opening, and risk management.
• Demonstrated leadership and team management.

Responsibilities

• Oversee daily client intake operations and conflict processing.
• Develop policies and ensure compliance with risk standards.
• Supervise intake specialists and manage workflow and timekeeping.
• Perform conflict searches for new business and hires.
• Collaborate with General Counsel and conflicts attorneys.
• Lead training and onboarding of staff.
• Work with IT and vendors to improve systems.
• Escalate high-risk matters to GC or CLO.
• Ensure data integrity and accurate entry in firm systems.
• Partner with billing to keep records accurate.
• Serve as point of contact for attorneys and staff.
• Monitor performance and promote efficiency.
• Foster inclusive culture and mentorship.
• Ensure adherence to policies and regulations.
