Job summary

Drew Eckl & Farnham in Atlanta, GA is seeking an Intake & Conflicts Supervisor to lead the firm’s intake and conflicts function. The role combines hands-on processing with supervisory duties and requires coordinating a small team of intake specialists and analysts.

You will ensure data integrity, manage conflict searches using Aderant, maintain client/matter records, and drive process improvements while supporting attorneys and staff with timely, compliant service.

Qualifications

  • Five or more years of law firm experience in conflicts or intake.
  • Experience supervising a team and providing coaching.
  • Strong knowledge of Aderant Expert or similar systems.

Responsibilities

  • Supervise Intake Specialists, Conflicts Analysts, and other intake support personnel.
  • Assign and prioritize daily workloads.
  • Monitor department productivity and workflow backlogs.
  • Review staff work for completeness and accuracy.
  • Provide training, coaching, and performance feedback.
  • Develop and maintain department procedures and training materials.
  • Conduct quality assurance reviews of intake and conflicts processes.
  • Participate in hiring, onboarding, and performance evaluations.
  • Ensure appropriate staffing coverage and cross-training.
  • Perform conflict searches and conflict analysis utilizing Aderant and related systems.
  • Review and process new client and matter intake requests.
  • Analyze and resolve complex conflict situations.
  • Serve as the escalation point for difficult or urgent requests.
  • Establish and maintain client and matter records within Aderant.
  • Process matter modifications, updates, and closures.
  • Review and approve intake requests prepared by team members.
  • Coordinate attorney rate setup and special billing arrangements.
  • Work directly with attorneys and legal staff to obtain necessary intake information.
  • Manage high‑priority and time‑sensitive requests.
  • Maintain conflict database integrity and matter master data.
  • Monitor intake workflow queues and aging reports.
  • Ensure compliance with Firm policies and ethical requirements.
  • Recommend improvements to intake and conflicts processes.
  • Identify opportunities for automation and workflow efficiencies.
  • Partner with Accounting, Billing, IT, and Firm Administration on process improvements.
  • Develop departmental metrics and reporting.
  • Monitor service levels and turnaround times.
  • Maintain documentation of standard operating procedures.

Job description

The Intake & Conflicts Supervisor is responsible for overseeing the Firm's intake and conflicts function while actively participating in the daily processing of conflict searches, new client intake, matter opening, and workflow management. This is a working supervisory role requiring both hands-on production work and leadership of the intake and conflicts team.

The Supervisor serves as the Firm's subject matter expert for intake, conflicts, client and matter setup, and related Aderant workflows. The position is responsible for ensuring efficient processing of new business requests, maintaining data integrity, supporting compliance with ethical and risk management requirements, and delivering exceptional internal client service to attorneys and staff.

Key Responsibilities
Supervisory Responsibilities (30%-40%)
  • Supervise Intake Specialists, Conflicts Analysts, and other intake support personnel.
  • Assign and prioritize daily workloads.
  • Monitor department productivity and workflow backlogs.
  • Review staff work for completeness and accuracy.
  • Provide training, coaching, and performance feedback.
  • Develop and maintain department procedures and training materials.

Hands‑On Intake & Conflicts Responsibilities (60%-70%)
  • Perform conflict searches and conflict analysis utilizing Aderant and related systems.

  • Serve as the escalation point for difficult or urgent requests.
  • Establish and maintain client and matter records within Aderant.

Required Experience
  • Five or more years of law firm experience in conflicts, intake, billing, accounting operations, or legal administration.
  • Demonstrated experience performing conflict searches and matter intake functions.
  • Prior supervisory, team lead, or mentoring experience preferred.
  • Strong working knowledge of Aderant Expert or similar law firm financial and practice management systems.
  • Experience working directly with attorneys and legal staff in a client service environment.
