Job summary

FBT Gibbons LLP is seeking a strategic Client Intake Manager to lead the daily operations of the firm’s Client Intake Department. You will ensure timely processing of new business intake and conflicts matters, drive compliance, and mentor a team across multiple offices.

The ideal candidate brings strong conflicts risk management, exceptional communication, and a track record of improving processes while partnering with attorneys and business professionals.

Qualifications

• Bachelor’s Degree preferred.
• 4+ years overseeing client intake or related operational functions within a law firm.
• 3+ years of research experience. Experience with Intapp and Aderant is a significant plus.
• Proficient with Microsoft Office products and database programs.
• Experience managing high-volume intake workflows across multiple offices and practice groups.
• Strong leadership and team management capabilities.
• Ability to synthesize complex information, research data, and communicate clearly.

Responsibilities

• Provide daily oversight of the Client Intake Department for timely processing of new business intake and conflicts matters.
• Develop, maintain, and enforce client intake policies and procedures for consistency and risk management.
• Supervise client intake specialists and manage workflow distribution and performance.
• Perform conflict searches related to new business intake and hires as needed.
• Support conflict research and resolution with Counsel.
• Lead training of Client Intake Specialists and onboarding of new attorneys and staff.
• Collaborate with IT and vendors to optimize intake software and processes.
• Monitor departmental performance and drive efficiency and compliance.
