FBT Gibbons LLP is seeking a strategic Client Intake Manager to lead the daily operations of the firm’s Client Intake Department, ensuring timely and accurate processing of new business intake and conflicts matters while driving excellence, compliance, and client service. The ideal candidate will mentor teams, improve processes, and partner with attorneys and business professionals across the firm.

Qualifications

• Bachelor’s degree preferred.
• 4+ years overseeing client intake or related operations in a law firm with leadership.
• 3+ years of research experience; Intapp and Aderant experience is a plus.
• Proficiency with Microsoft Word/Outlook and database programs.
• Experience overseeing high-volume intake workflows across multiple offices.

Responsibilities

• Oversee daily operations of the Client Intake Department for timely, accurate processing of new business intake and conflicts.
• Develop and enforce intake policies, procedures, and risk management standards.
• Supervise Client Intake Specialists and manage workflow distribution and training.
• Perform conflict searches for new matters, hires, and projects.
• Collaborate with Assistant General Counsel and conflicts attorneys on research and resolution.
• Mentor and onboard new conflicts attorneys and lateral specialists; support orientation for new hires.
• Collaborate with IT and Data teams to optimize intake software and processes.
• Escalate complex or high-risk matters to GC or CLO; ensure timely resolution and risk mitigation.
• Ensure accurate entry and validation of client/matter data; maintain data integrity.
• Coordinate with billing to keep records aligned across systems.
• Serve as primary contact for attorneys and staff on intake procedures and policy guidance.
• Monitor performance and seek efficiency and compliance improvements.
• Foster a positive, inclusive culture with high engagement and teamwork.
• Provide ongoing coaching and performance feedback.
