Job summary

Indian Tree Animal Hospital in Arvada, CO is seeking a skilled veterinary receptionist to be the primary contact for clients and their pets. You will balance administrative accuracy with warmth in a clinical setting, coordinating appointments, payments, and client communication.

The ideal candidate has at least 1 year of front-desk experience in a veterinary practice, proficiency with practice management software, and strong customer service and communication skills to support compassionate care

Qualifications

• Minimum 1 year of experience as a veterinary receptionist.
• Experience with veterinary practice management software; Cornerstone, Avimark, ImproMed, eVetPractice, or ezyVet preferred.
• Knowledge of veterinary medical terminology, vaccination protocols, and basic diagnostic procedures.
• Proficiency in appointment scheduling, multi-line phone management, medical records management, and payment processing.
• Proven customer service skills; ability to manage high-volume client relations with composure and accuracy.
• Strong verbal and written communication skills, including active listening and conflict resolution.
• Comfortable handling animals of varying sizes, breeds, and temperaments.

Responsibilities

• Greet and check in clients and patients, verify and update medical records, and confirm appointment details using practice management software.
• Answer and manage a multi-line telephone system, respond to inquiries about scheduling, refills, vaccination records, and hospital information.
• Process payments, post charges, explain invoices, and schedule follow-up appointments.
• Communicate medical information, diagnoses, and care instructions, including end-of-life discussions.
• Maintain accurate EMR and ensure timely data entry in the PIMS system.
• Coordinate with veterinarians and staff to relay client communications and flag urgent cases.
