Job summary

It’s A Secret Med Spa is seeking a professional Client Concierge to warmly greet clients, manage front desk duties, and support providers. You will maintain a clean, efficient environment and ensure accurate scheduling and records while delivering excellent service.

Ideal candidates bring 1 year of customer service experience, a flexible weekend schedule, and strong communication skills. Bilingual abilities are a plus; HIPAA compliance is essential.

Qualifications

• Prior customer service experience is required.
• Experience in a med spa or medical office is preferred.
• Strong written and verbal communication skills.
• Ability to multi-task while assisting clients and staff.

Responsibilities

• Greet clients warmly in person and over the phone and provide service information.
• Handle front desk tasks: check-in/out, scheduling, inventory, and supplies.
• Maintain a clean, professional facility environment.
• Support providers and managers with appointment books and scheduling.
• Ensure accurate data entry in the POS system for clients and staff.
• Adhere to company policies and HIPAA requirements.

A Day in the Life of the Client Concierge

• Warmly greeting clients in person and over the phone. Providing basic knowledge and education about our wide variety of services.
• Manage front desk duties such as checking patients in/out, answering phone calls, greeting clients, overseeing inventory counts, and keeping supplies fully stocked while ensuring a positive and warm experience for our clients
• Maintain a clean and professional environment throughout the facility
• Assistant providers and managers with client scheduling and maintaining the appointment books.
• Comply with all company policies and procedures to ensure streamlined processes within the location
• Ensure POS system is managed effectively and accurately with all client appointment and employee information added.

Required Skills, Qualifications, And Experience

• Previous customer service experience (1 year) required
• Flexible schedule with the ability to work weekends
• Previous experience working in a med spa or medical office preferred
• Excellent written and verbal communication skills
• Ability to multi-task while being attentive to clients and remaining flexible to the needs of the business
• Ability to work as part of a team and take initiative
• Enthusiastic, friendly and energetic personality with a genuine desire to provide outstanding service
• Must Maintain patient/client confidentiality in accordance with HIPAA regulations and company policy
• Must maintain a high level of integrity with a strong ethical foundation
• Must be able to reach above shoulder height, crawl, kneel, and push/pull up 50 lbs.
• Must have a working knowledge of Microsoft applications
• Bilingual preference given
• Other duties as assigned
• Must work a minimum of 30 hours per week
