Client Care Coordinator

About the Role

ameriCARE Marin is looking for a personable, highly organized, and resourceful Client Care Coordinator to help us build and support an exceptional team of caregivers while ensuring our clients receive reliable, consistent care.

A major focus of this position is finding great caregivers, bringing them into the ameriCARE Marin team, and helping them succeed once they're here. You'll manage much of the caregiver journey—from recruiting and interviewing through onboarding, training, scheduling support, ongoing compliance, and retention.

You'll also develop relationships with our clients and families, helping us match the right caregiver with the right client and making sure those relationships continue to work well.

This is a hands-on role for someone who genuinely enjoys people, is comfortable recruiting and interviewing, and can keep a lot of moving pieces organized.

Work Location & Schedule

This is primarily an in-office position based at our San Rafael office at 888 Fourth St. While some work-from-home flexibility can be arranged, the nature of this role requires regular interaction with caregivers, candidates, clients, and the rest of our team. The Client Care Coordinator should generally expect to work in the office at least four days per week.

What You'll Do
Caregiver Recruiting
  • Take ownership of our ongoing caregiver recruiting efforts and help maintain a strong pipeline of qualified candidates.

  • Create and post caregiver job openings across online recruiting platforms and other appropriate channels.

  • Develop and maintain relationships with caregiver referral sources, including CNA programs, nursing schools, training programs, community organizations, workforce programs, and other local recruiting partners.

  • Identify new and creative ways to reach qualified caregivers throughout Marin County and the surrounding area.

  • Respond promptly to caregiver applicants and keep strong candidates moving through the hiring process.

  • Conduct initial screening calls and caregiver interviews.

  • Evaluate candidates for experience, reliability, communication skills, professionalism, personality, and overall fit with ameriCARE Marin.

  • Help build a caregiver referral network that generates a consistent flow of quality candidates.

Caregiver Hiring & Onboarding
  • Guide selected candidates through the entire onboarding process.

  • Collect and maintain required employment and caregiver documentation.

  • Coordinate background checks, required registrations, and other pre-Employment requirements.

  • Track each candidate's progress from initial application through completion of onboarding and readiness for client assignments.

  • Conduct new-caregiver orientation and provide basic training on ameriCARE Marin policies, expectations, communication practices, documentation, and standards of care.

  • Make sure new caregivers feel welcomed, prepared, and supported before beginning their first assignment.

Training & Compliance
  • Help caregivers understand and remain current with California's required caregiver training and continuing-education requirements.

  • Track training requirements, completion dates, credentials, registrations, and other compliance-related deadlines.

  • Work with our training partner, Activated Insights, to assign, monitor, and document required caregiver education.

  • Follow up with caregivers who have outstanding or upcoming training requirements.

  • Identify situations where caregivers may benefit from additional coaching, education, or support.

  • Maintain organized and accurate caregiver personnel and training records.

  • Help ensure that our caregiver workforce remains compliant with applicable California home-care requirements.

Caregiver Support & Retention

Recruiting a great caregiver is only the beginning. An equally important part of this position is helping good caregivers want to stay with ameriCARE Marin.

  • Build strong, positive relationships with our caregivers and serve as a reliable point of contact for questions and support.

  • Regularly check in with caregivers to understand how their assignments are going.

  • Recognize good performance and help caregivers feel appreciated for the important work they do.

  • Address caregiver concerns quickly and professionally.

  • Help identify and resolve issues before they lead to caregiver dissatisfaction or turnover.

  • Work with management to improve the caregiver experience, engagement, and retention.

  • Help create a culture where caregivers feel respected, supported, accountable, and part of a team.

Caregiver Matching & Scheduling
  • Get to know the strengths, personalities, availability, and preferences of our caregivers.

  • Match caregivers with clients based on care needs, personality, location, schedule, experience, and compatibility.

  • Work with the team to create and adjust caregiver schedules.

  • Respond to call-outs and unexpected staffing changes and help find appropriate coverage.

  • Maintain communication with caregivers regarding assignments and scheduling changes.

  • Look for opportunities to provide caregivers with consistent hours while maintaining continuity of care for clients.

Client & Family Support

Although the position is heavily caregiver-focused, you'll play an important role in the client experience.

  • Develop relationships with clients and family members and understand their individual care needs and preferences.

  • Help introduce caregivers and ensure new caregiver/client matches get off to a strong start.

  • Check in periodically with clients and families regarding caregiver performance and overall satisfaction.

  • Communicate relevant feedback to caregivers and management.

  • Assist with updates to care plans and service needs when circumstances change.

  • Help resolve caregiver/client compatibility issues quickly and professionally.

  • Participate in client assessments or home visits when needed.

Documentation & Quality
  • Maintain accurate records of caregiver recruiting, interviews, onboarding, training, credentials, assignments, and performance.

  • Document important client and caregiver communications.

  • Help ensure caregiver records remain complete and current.

  • Track incidents, concerns, performance issues, and follow-up actions.

  • Maintain confidentiality and follow HIPAA requirements, company policies, and applicable California home-care regulations.

On-Call Support
  • Participate in an after-hours on-call rotation as needed.

  • Help resolve urgent caregiver call-outs, scheduling issues, and client concerns.

  • Remain calm and solution-oriented when unexpected situations arise.

What We're Looking For

The right person for this position doesn't necessarily need to come from a traditional healthcare background. We're looking for someone who is great with people, highly organized, comfortable recruiting and interviewing, and genuinely interested in building a strong caregiver team.

Preferred qualifications include:

  • Experience in recruiting, staffing, home care, senior care, healthcare, human resources, scheduling, or another people-focused role.

  • Previous caregiver recruiting or home-care experience is strongly preferred.

  • Strong interviewing skills and good instincts when evaluating candidates.

  • Excellent verbal and written communication skills.

  • Ability to build rapport quickly with caregivers, clients, families, and community partners.

  • Strong organizational skills and attention to detail.

  • Ability to manage multiple candidates, caregivers, schedules, and deadlines simultaneously.

  • Comfortable using Microsoft Office and learning recruiting, scheduling, CRM, and training-management systems.

  • Strong familiarity with WellSky Personal Care is a plus.

  • Ability to work independently, take initiative, and solve problems without needing constant direction.

  • CNA, CMA, LVN, social work, healthcare, HR, or recruiting experience is a plus but not required.

  • Valid driver's license, reliable transportation, and ability to travel locally when necessary.

  • Ability to work from our San Rafael office at least four days per week.
