Job summary

Kirkman Road Veterinary Clinic, part of National Veterinary Associates, is seeking a client care representative to be the first point of contact for clients and visitors in our Orlando practice. You will greet clients, answer phones, prepare patient files, and relay information to the team with a professional customer-service attitude.

The ideal candidate has a high school diploma, basic computer skills, and the ability to learn veterinary terminology.

Qualifications

  • High school diploma or equivalent required.
  • Customer service background desirable but not required.
  • Some computer knowledge with Word, keyboarding, and use of communication tools like Instant Messenger and email.

Description & Requirements

The client care representative is the client’s first contact when calling or visiting the practice and as such represents the professional image of the practice to callers and visitors. The client care representative supervisor answers telephones, greets clients, prepares patient files and escorts clients and patients to exam rooms (when necessary), receives and relays client correspondence, updates client financial records. The exceptional receptionist has the ability to diffuse negative client situations and foster client bonding. The client care representative is the front staffs initial go to when the have questions and concerns and serves as the liaison between the team and upper management.

EDUCATION AND LICENSURE REQUIREMENTS
  • High school diploma or equivalent.
  • Customer Service background desirable but not required.
  • Some computer knowledge required; comfortable with Word, keyboarding, and use of communication tools such as Instant Messenger and email.
EXPERIENCE REQUIREMENTS
  • Significant experience with basic office functions in a busy office environment.
  • Previous receptionist and veterinary practice experience are desirable but not required.
PERSONAL REQUIREMENTS

The client care specialist must be able to:

  • Be flexible in attitude and work habits.
  • Quickly learn how to pronounce, know the meaning of and spell commonly used veterinary terms.
  • Perform basic computer skills, type 30 words per minute.
  • Have had experience with basic office functions in a busy work environment
  • Physical Effort: Work requires lifting and carrying records and equipment weighing up to 25 lbs; requires standing for extended periods or time as well as working long hours.
  • Working conditions: May be exposed to unpleasant odors, noises and animal feces. May be exposed to bites, scratches and contagious diseases.

  • Can perform all client care representative duties and tasks as required.
  • Serves as back-up to the assistant manager
  • Supports and encourages new ideas and implementation of protocols.
  • Assists client care specialist supervisor with client issues and or complaints.
  • Serves as a liaison for communication between doctors and client care specialist when the supervisor is not available.
  • Helps to oversee completion of daily task lists.
  • Helps to ensure that client compliance and standards of care are being upheld.
  • Orders office supplies.
  • Orders food currently stocked in hospital as well as food special orders.
