Job summary

Greater New York Insurance Companies seeks a detail-oriented administrative assistant to support the Claims Department. You will answer phones, manage mail, use ImageRight/WINS, and handle invoicing and file sharing.

Responsibilities include FNOL setup, HIPAA authorizations, and coordinating exams. The role requires basic MS Office skills, strong communication, and teamwork in a fast-paced environment.

Qualifications

  • High School diploma or equivalent is required.
  • 1–2 years of administrative experience preferred.
  • Knowledge of Microsoft Office 365 is required.
  • Experience with ImageRight and WINS a plus.

Responsibilities

  • Answer phones, route calls and take messages.
  • Prepare and mail correspondence (Overnight, regular, and certified).
  • Use ImageRight, WINS and Microsoft applications (Outlook, Word & Excel).
  • Process and review invoices.
  • Open, prep, sort and scan mail into ImageRight.
  • FNOL claim setup and related workflow (coverage, incident/claim setup, ISO entry, lawsuit setup, broker acknowledgements, tasks to examiners).
  • Submit HIPAA authorizations and import records via MCS portal and ImageRight file.
  • Process Summons & Complaints.
  • Redact policies in ImageRight.
  • Share GNY’s files with third parties via OneDrive.
  • Set up Independent Medical Exams.
  • Back up main switchboard; participate in special projects.
