Job summary

The City of New York is seeking a Mayoral Program Coordinator (M-06423) to lead planning and execution of high-profile events across the five boroughs. You will work with the Deputy Executive Director, Events and Protocol, coordinating with city agencies, vendors, and staff to deliver impactful ceremonies and receptions.

You will manage budgets, timelines, guest lists, and printed materials for City Hall approval, while supervising event staff and interns.

Qualifications

  • Bachelor's degree with 2 years of admin/management/analytical or related experience; or high school diploma with 6 years of experience in administration, research, management, analytical work or community activities; or an equivalent combination.
  • At least one year of experience in administration, research, management, analytical work or community activities.
  • Driver's license preferred; ability to drive around NYC.
  • Must be able to lift up to 35 lbs and work outdoors in varying weather conditions.

Responsibilities

  • Partner with city agencies, external and internal vendors to plan and execute events across five boroughs.
  • Act as project lead with Deputy Executive Director to produce and manage mayoral events, including ceremonies and heritage events.
  • Coordinate event briefings, production schedules, guest lists, and mayoral advance sheets.
  • Oversee budgets, invitations, and development of printed materials for City Hall approval.
  • Manage event staff and interns to ensure smooth production of activities.
  • Direct event details including catering, entertainment, transportation, venue prep, and promotional materials.
  • Prepare briefing and production materials for ceremonial teams and ensure timely dissemination.
  • Troubleshoot issues on event days and conduct post-event debriefings.
