Job summary

State of Wisconsin Disability Determination Bureau is seeking a Central File Maintenance (CFM) Unit Supervisor in Madison to oversee complex processing of disability claims and mail operations. The role requires leadership, customer service, and strong knowledge of SSA rules.

You will supervise staff, coordinate case receipt and closure, and ensure compliance with SSA, DDB, and CARES systems. A robust benefits package and on-site parking are offered.

Job description

Central File Maintenance Supervisor – Disability Determination Bureau

The Disability Determination Bureau (DDB) is recruiting to fill a Central File Maintenance (CFM) Unit Supervisor.DDB is located at 1400 E. Washington Avenue in Madison, WI with free on-site parking.

The CFM Unit performs complex, technical tasks necessary for processing disability claims for adjudication under Title II, Title XVI, and Title XIX of the Social Security Act. The CFM Unit receives and closes over 65,000 disability claims annually from 27 Social Security Field Offices and all Consortia offices throughout the state.

The DDB consists of approximately 200 employees, including some contractors. The DDB operates on a yearly budget of approximately $30 million funded by the SSA to do medical determinations for SSA disability claims. The DDB also processes a small number of State Medicaid disability claims funded by DHS. The DDB must follow all SSA policies and regulations for safety, security and hiring as well as State of Wisconsin policies and regulations.

As the CFM Unit Supervisor,you will serve as a liaison for the Social Security Field Offices and Consortia offices for the purpose of accurate and complete applications for disability benefits and associated case receipt and closure issues. In addition, you will supervise mail room operations, review, process, scan and route all incoming and outgoing mail associated with these cases. This position requires thorough knowledge of the SSA, DDB, and State (CARES) computer systems and extensive knowledge of the Social Security disability process.

Salary Information

The starting pay is between $32.00 and $37.17 per hour per hour (approximately between $66,500 and $77,300 per year), depending on qualifications, plus excellent benefits. A 12-month probationary period is required.

Pay for current or former state employees will be set based on the rules that apply to compensation for the applicable transaction. This position is classified as a Program Assistant Supervisor – Advanced and is in pay schedule and range 81/04.

All applicants who may be appointed to this position will be required to go through a complete federal background investigation. A suitability determination by the Social Security Administration is necessary prior to hire to determine whether an employee can be issued credentials in order to have access to Social Security disability data, records, and systems.

DHS does not sponsor work visas for this position, thus, in compliance with federal law, selected candidates will be required to verify eligibility to work in the United States by completing the required I-9 form upon hire. DHS is not an E-Verify employer nor a STEM-OPT eligible employer.

Qualifications

Minimally qualified applicants will have all of the following:

Experience in a leadership role performing duties such as training staff, reviewing work of others, assigning tasks, etc.

Experience performing customer service tasks (e.g., responding to inquiries, explaining procedures, resolving issues, etc.)

  • Experience interpreting and applying Stateor Federal rules and regulations.
  • Experience working with computer programs and databases such as Microsoft Office Suite (e.g. Excel, Access, Word) in a business setting.

Well-qualified applicants will also have one or more of the following:

  • Experience as a supervisor or manager performing duties such as providing guidance, coaching, or mentoring to staff, completing performance evaluations, hiring, disciplining, etc.

Experience in project management role (e.g., planning, directing work, setting objectives, etc.)

Experience writing procedural materials (e.g., Standard Operating Procedures, work instructions, training or policy guides, etc.)

  • Experience working in a mail room.

Experience reviewing all types and levels of SSA Title II, Title XVI, and Title XIX disability claims.
