Job summary

The Wisconsin Department of Children and Families (DCF), Division of Milwaukee Child Welfare (DMCW), is recruiting for an Office Associate - Receptionist in Milwaukee, WI. The role greets customers, visitors and staff, answers inquiries in person, by phone and by email, and handles mail and electronic fax transmissions.

This 100% on-site position offers starting pay of $19.49 per hour ($40,323 annually) with a one-year probationary period and potential for assignment under the state compensation

The Wisconsin Department of Children and Families (DCF), Division of Milwaukee Child Welfare (DMCW), Integrated Operations and Support Services currently recruiting to fill an Office Associate - Receptionist position in Milwaukee, WI. This position is 100% on-site at the Milwaukee Department of Children and Families Office located at 635 N. 26 th Street. Employees need to report to the office on their first day for onboarding and orientation.

Position Summary

This position’s primary responsibility is as an agency receptionistservingasthe firstpointofcontactfor customers of theDivisionofMilwaukeeChild Welfareand other divisions within the Department of Children and Families.Theposition will greet and respondto inquiries fromcustomers,visitors,andagencystaff bothinperson and via phone, and email.This position will also receive, sort, and deliver or distribute mailand receive and upload electronic fax transmissions for the organization. This position is customer service oriented and requires knowledge of agency structure and operations.

The classification title for this position is Office Associate. The starting salary is $19.49 per hour ($40,323 annually) .Pay for current State of WI employees will be based on the compensation plan in effect at the time of the appointment. Pay for current state employees who are transferring will be determined based upon the pay on transfer rules (higher level duties or equity) as outlined in the compensation plan in effect at the time of appointment.

The pay schedule/range is 02-09. A one-year probationary period may be required.

Due to the nature of the position, final candidates may be required to allow DCF to conduct a security background check to determine whether the circumstances of any pending charges or convictions would be substantially related to the job being filled.

Applicants must be legally entitled to work in the United States (i.e., a citizen or national of the U.S., a lawful permanent resident, an alien authorized to work in the U.S. without DCF sponsorship.) The Department of Children and Families does not sponsor visas, either at time of hire or at any later time.

Qualifications

Minimally qualified applicants will have:

  • Customer service experience (answering calls, greeting guests, etc.) in an office setting
  • Basic experience in Microsoft Word, Excel, and Outlook or similar programs (e.g. creating notes or documents, updating logs and spreadsheets, and sending/receiving email communication)
  • Experience handling sensitive/confidential information and/or documentation.
  • Experience meeting deadlines and prioritizing tasks

Well-qualified applicants will have:

  • Experience providing administrative support to others in a professional setting
  • Basic experience in Adobe Acrobat Pro (creating and editing documents)
  • Experience communicating information to various individuals and organizations
  • Experience working with a multi-line phone system
  • Experience using active listening skills and probing techniques with callers or visitors to gather relevant information to determine how to best service the caller/visitor.
  • Experience working independently and with minimal supervisory guidance.
