Job summary

Flexjet LLC is seeking a GCM Catering Invoices Specialist to review and approve catering invoices, ensuring charges align with contracts and budgets. The role focuses on identifying billing errors, securing credits, and tracking cost trends while coordinating with international catering teams.

The successful candidate will have strong accounts payable and bookkeeping experience, excellent communication skills, and proficiency with ERP software and Excel to support global cost management

Qualifications

• Experience with invoice reconciliation, accounts payable, bookkeeping, or basic accounting.
• Strong attention to detail and accuracy.
• Ability to review invoices against contracts, budgets, or agreed pricing.
• Strong email communication skills and professional business etiquette.
• Experience using proprietary software or business systems.
• Good organizational and time management skills.
• Ability to communicate effectively with vendors and internal stakeholders.

Responsibilities

• Review catering invoices for accuracy and compliance with contract terms and company guidelines.
• Approve invoices within established limits and procedures.
• Evaluate catering costs to ensure they are reasonable and align with contracts.
• Identify billing errors, duplicate charges, and other invoice discrepancies.
• Work directly with vendors to question or challenge costs when appropriate.
• Request, track, and reconcile credits for overcharges or billing corrections.
• Maintain accurate records of invoice reviews, approvals, disputes, and credits.
• Monitor catering spending and identify cost trends, unusual charges, or recurring issues.
• Communicate concerns and cost trends to the Director of Global Cost Management.
• Partner with international Flexjet catering management teams to resolve billing issues and improve transparency.
