Job summary

Grand Geneva Resort & Spa, part of Marcus Hotels & Resorts, in Lake Geneva, WI, seeks a Catering/Events Coordinator to relay sales details to operations and management, ensuring accurate handoffs for group events.

You will support the Events team, prepare contract files, answer inquiries, and collaborate across departments to ensure flawless event execution. This role requires flexibility and attention to detail at a bustling luxury resort.

Qualifications

• High school diploma or equivalent; college degree preferred.
• Experience using Microsoft 365 apps.
• Delphi experience preferred.
• Ability to analyze client needs and negotiate pricing.
• Ability to work under time pressure and extended hours.

Responsibilities

• Create files for contracts, correspondence, forms, memorandums, and Delphi updates.
• Answer telephone and respond to inquiries.
• Direct callers based on requests and relay information to operations.
• Record and distribute messages accurately.
• Coordinate with hotel staff to relay sales-related information.
• Organize, file, and distribute documents and faxes.
• Collaborate with Events Manager and clients in the Manager's absence.
• Support other sales and catering staff when needed.

As a Catering/Events Coordinator at the Grand Geneva Resort & Spa you will be responsible for the communicating the details for groups events turned over from sales and ensuring that information is relayed in a timely and accurate manner to the operations department and the hotel management and staff.

What will you be doing?

• Create files for contracts, correspondence, forms, memorandums, Delphi management system updates, and other documents.
• Answer telephone and responds to caller inquiries.
• Exercise decision-making skills to direct callers based on requests.
• Accurately records and distributes messages.
• Communicate with other hotel associates to relay pertinent sales related information.
• Organizes, files, distributes faxes, and other essential functions necessary in the daily department operation.
• Works in cooperation between Events Manager(s) and clients in Manager's absence.
• Performs supportive functions during the absence of other sales and catering assistants.
• Ability to assist in other departments when necessary.
• Perform other duties as assigned.

What do you bring to the role?

• Any combination of education and experience equivalent to graduation from high school. College degree preferred.
• Able to use Microsoft 365 applications.
• Previous Delphi experience preferred.
• Ability to analyze client needs and negotiate pricing.
• Ability to work under time pressures and extended hours.
