Job summary

ProActive Physical Therapy Specialists, a member of the Confluent Health family, is seeking a Full Time Front Desk Medical Receptionist to join our team. You will be the first voice seen by patients, setting a welcoming, organized tone from the initial call through each visit.

This fast-paced, multi-tasking role requires calmness, ownership, and strong communication with both patients and the clinical team. Training is provided and growth opportunities exist within the clinic leadership.

Qualifications

• High School Diploma or GED required.
• 1+ year of experience in a customer-facing or patient-facing role.
• Ability to manage multiple tasks at once while staying organized and detail-oriented.
• Comfortable and confident communicating on the phone.
• Basic computer proficiency and willingness to learn scheduling software.
• No prior medical experience required — training provided.

Responsibilities

• Create a welcoming, professional first impression for patients, visitors, and referral sources.
• Manage front desk operations including patient check-in, check-out, scheduling, insurance verification/authorization, and phone calls.
• Review, schedule, and follow up on incoming referrals by gathering information and updating patient records.
• Keep patient flow and schedules moving by confirming appointments and managing waitlists and cancellations.
• Collect copays, balances, and other patient payments professionally.
• Protect patient privacy and HIPAA standards in all front desk interactions.
