Job summary

Occidental College is seeking a Card Services Assistant in the Information Technology Services department for a 2-month term. You will support daily ID card operations, assist students, faculty, staff and visitors with card services and account transactions, and help maintain records and office functions.

You will learn card office systems, participate in semester activities, and collaborate with campus partners to ensure efficient and courteous service.

Qualifications

  • High School Diploma and at least one year of admin or customer service experience.
  • Proficiency with Microsoft Office, Google Drive/Forms, and Adobe Acrobat.
  • Strong attention to detail and ability to manage multiple tasks.

Responsibilities

  • Provide administrative assistance for special projects and other duties to support Card Services.

Job Summary

Under the direction of the Assistant Director, Campus CardServices, the Card Services Assistant will provide administrativeand customer services support for the daily operations of theCollege’s Card Services. The Assistant will assist students,faculty, staff and campus visitors with ID card services, accounttransactions, and access related requests while maintainingaccurate records and supporting office operations. The Assistantwill learn and utilize specialized card office systems to produceID cards and process requests. The Assistant supports semesterbased operational activities, collaborates with campus partners, asneeded and contributes to efficient, responsive, and serviceoriented office operations.

Job Duties
  • 60% - Assist students, faculty, staff, and campus visitors withroutine College Card Services requests. Process new and replacementID cards, debit account deposits, meal plan transactions, and cardaccess requests. Deliver timely customer service and elevatecomplex issues to the Assistant Director when appropriate. -(Essential)
  • 20% - Support semester card office operations, including IDcard production, meal plan assignments, and access encoding.Process routine transactions in card office systems, maintainaccurate records, assist with meal plan reconciliations, andcomplete other assigned operational tasks. - (Essential)
  • 10% - Perform basic troubleshooting of ID card productionequipment and card office software. Conduct routine equipmenttesting and maintenance, document service issues, and refer complextechnical problems to the Assistant Director for resolution. -(Essential)
  • 10% - Provide administrative assistance for special projectsand departmental initiatives. Perform other assigned duties thatsupport the efficient operation of College Card Services. -(Essential)
Minimum Qualifications
  • High School Diploma.
  • One year of administrative support, office, customer service,or related experience.
  • Proficiency in Microsoft Office applications (Word, Excel,PowerPoint), Google drives/folders/forms, Adobe Acrobat, WebEditing, and social media applications or any combination ofproductivity programs applicable to position responsibilities.
  • Demonstrated ability to be detail-oriented and thorough;skilled at anticipating and preventing
    potential problems and handling a wide variety of tasks withefficiency and accuracy. Strong
    commitment to a quality work product.
  • Demonstrated ability to effectively communicate verbally, inwriting and electronically. Effective interpersonal skills asevidenced in the ability to collaborate with a variety ofconstituencies.
  • Demonstrated commitment to justice, equity, inclusion &diversity.
  • Demonstrated skill in adapting to and performing workeffectively in high-volume, high
    accountability, confidential environment with multiple and changingpriorities. Effective
    organizational, logistical, time management and planning skillswith the ability to manage and
    prioritize multiple tasks/projects simultaneously, prioritize andfulfill the functions of an office in a timely manner.

Preferred Qualifications
  • Associate degree.
  • Experience in a higher education environment. Experience withID card systems, access control systems, or other databaseapplications.

EXPECTED HIRING RANGE: $20.00/hr-$23.00/hr
