Job summary

Paul Smith’s College is seeking an Operations Fleet Vehicle Coordinator to oversee daily management, compliance, and maintenance of college vehicles, golf carts, and field equipment.

The role provides essential transportation support for campus facilities, field research, athletic travel, and student organizations while upholding safety and service standards. Strong communication and fleet software skills are required.

Qualifications

• High school diploma or equivalent required.
• Minimum of 1+ years of professional experience in fleet operations, transportation logistics, commercial dispatching, or automotive service coordination.
• Proficiency in fleet management software and Google Workspace/Microsoft Office.
• Must possess or obtain OSHA trainings or certifications within 30 days of hire.
• Excellent verbal and written communication skills with a diverse campus population.
• Active driver’s license and driving record acceptable to our insurance carrier (preferred: CDL).

Responsibilities

• Schedule, track, and monitor mandatory preventative maintenance for all vehicles and specialized field equipment.
• Manage relationships with external repair shops, parts suppliers, and fuel providers.
• Serve as primary contact for roadside assistance, breakdowns, accidents, and towing logistics.
• Maintain digital records for all vehicles: titles, registrations, licensing, maintenance histories.
• Ensure compliance with DOT regulations and campus safety policies.
• Monitor fleet expenditures and budgets with leadership.
• Oversee campus driver authorization and MVR background checks.
• Manage centralized vehicle reservation platform and keys/security controls.
• May provide backup duties to other Campus Operations roles.
• Document collisions and property damage for insurance and leadership.
