This role supervises and supports business office staff, serves as the center's go-to resource for Epic front-end and revenue cycle workflows, and makes sure the office runs accurately, efficiently, and in compliance with regulatory and payer requirements. The Supervisor also works hands-on, covering the front desk and other business office functions whenever needed.ResponsibilitiesStaff LeadershipSupervise, train, and support business office staff.Participate in hiring, onboarding, and orientation of new business office employees, including Epic training on center workflows.Create staff schedules, approve time off, manage timekeeping, and make sure the front desk is covered from first patient arrival through end-of-day close.Conduct performance evaluations, provide coaching and feedback, and address performance or conduct issues in partnership with the Director and HR.Hold regular team huddles or meetings to communicate updates, schedule changes, payer changes, and process improvements.Front-End Revenue CycleOversee scheduling, pre-registration, insurance eligibility verification, and prior authorization so that cases are cleared financially before the day of surgery.Make sure patient cost estimates, and Good Faith Estimates for self-pay or uninsured patients, are prepared and communicated accurately and on time.Oversee workers' compensation and auto/liability cases, including claim numbers, adjuster contacts, and authorizations.Monitor point-of-service collections, set and track collection goals, and coach staff to have clear, compassionate financial conversations with patients.Oversee daily cash reconciliation, deposits, and payment posting, and enforce cash handling and internal control procedures.Epic Systems and WorkflowsServe as the business office's Epic super user.Work with Epic analysts, IT, or the center's Epic support team to troubleshoot issues, request build changes, and test and roll out upgrades.Maintain up-to-date workflow guides and tip sheets for business office staff.Reporting, Compliance, and QualityTrack and report key business office metrics.Audit registration and scanned medical record documents for accuracy and completeness, including signed consents and required patient disclosures.Make sure business office practices comply with HIPAA, CMS ASC Conditions for Coverage, the No Surprises Act, and accreditation standards (e.g., AAAHC or Joint Commission).Participate in quality improvement projects, survey readiness, and center committees.Work closely with clinical leadership, surgeons' offices, and the OR schedule to resolve issues that affect patient flow and case readiness.Experience/EducationExperienceRequiredThree or more years of experience in healthcare business office or revenue cycle operations, including registration, insurance verification, and collections.One or more years of supervisory or lead experience.Hands-on experience with Epic, including front-end registration and scheduling workflows.Strong knowledge of commercial insurance, Medicare, Medicaid, workers' compensation, and auto/liability coverage.Working knowledge of HIPAA and healthcare billing compliance.Excellent communication, problem-solving, and organizational skills, with the ability to lead a team through a busy surgical day.PreferredExperience in an ambulatory surgery center or orthopedic practice.Epic super user experienceKnowledge of CPT and HCPCS coding for orthopedic procedures and ASC payment methodology.Bilingual in English and SpanishEducationHigh school diploma or equivalent; required.Associate or bachelor's degree in healthcare administration, business, or a related field, preferred.Physical RequirementsThis role requires sitting or standing for extended periods, frequent computer and phone use, and occasionally lifting up to [20] pounds.
