Business Office Manager Overview:
- The Business Office Manager is responsible for billing and collection of private pay accounts. This position also obtains appropriate insurance information necessary for timely and successful collection of all accounts, as well as manages facility petty cash accounts and resident accounts. The Business Office Manager is responsible for the maintenance of census, admission, re-admission, and discharge records. This role can include supervision of Business Office Clerk and receptionist positions (where applicable).
Responsibilities
Business Office Manager:
- Handles establishment, transactions, record-keeping, and preparation of quarterly reports to be sent to all residents.
- Performs bank reconciliation to resident accounts.
- Initiates billing for residents paying for care with private funds including Medicaid Pending and Resources.
- Reconciles census, prior period adjustments, bank deposits at month end, and completes the month end close cycle for AR and Accounting for the facility.
- Completes monthly claim submission for third party payers and follows up throughout the AR submission and claim cycle to ensure claims are paid accurately and timely.
- Assists responsible parties with submission of Medicaid applications to the appropriate county, gathering necessary documentation and guiding them on requirements. Communicates with county caseworkers on application status and provides additional information as needed. Knowledge of Medicaid eligibility is essential.
- Notifies residents and/or responsible parties of Medicare and insurance coverage or non-coverage.
- Verifies insurance coverage; responds to third-party payer and Medicare requests for additional information, ensuring timely responses reviewed with the PPS expert.
- Receives payments and applies income for resident services, forwarding to Posting Clerk.
- Reconciles and prepares dietary deposits from Employee Dining Room, vending, guest meals, activities, and events, forwarding to the Posting Clerk.
- Obtains Medicare A and B or other third-party billing information for reimbursement.
- Obtains Medicaid billing information for reimbursement.
- Initiates and reports collection activities for receivables; processes bad debt write-offs as approved by the Administrator and forwards to the Director of Accounts Receivable.
- Greets new residents and responsible parties, providing billing and safeguarding information, and answers inquiries about rates and services.
- Completes admission paperwork, ensuring all resident agreements are fully signed.
- Enters resident information changes into the system.
- Responds promptly to requests regarding financial records; prepares rebates upon discharge and forwards to the Accounts Receivable Director.
- Notifies County Medicaid Offices of income changes.
- Provides Medicaid eligibility information and maintains monthly rosters.
- Reconciles monthly census resident days with billed days.
- Reconciles accounts at month-end, posts transactions correctly.
- Verifies ancillary charges and forwards applicable charges to the Posting Clerk.
- Reviews and processes monthly pharmacy bills, balancing invoices and entering charges. Enters oxygen and private room differential charges.
- Monitors aging analysis for outstanding accounts.
- Prepares collection efforts in the Credit Management system and oversees deposits and cash posting.
- Processes check requisitions and manages petty cash transactions.
- Maintains records of gift certificates issued to residents.
- Prepares aging reports and monthly statistical summaries; completes month-end processes.
- Prepares year-end documents for financial audits.
- Supervises Business Office Clerk and receptionist positions (if applicable).
- Provides support and guidance to business office staff under the supervision of the SR. Director of Revenue Cycle Management, including organizing processes and training.
Qualifications
Business Office Manager:
- High school diploma or equivalent.
- Knowledge of office equipment and computer programs.
- Minimum of 5 years' experience in a business office role, preferably in SNF, AL, physician groups, or healthcare.
- Previous supervisory experience.
- Working knowledge of Medicaid programs; at least 1 year of experience with Medicaid applications and eligibility.
- Ability to communicate effectively in English (reading, writing, speaking, understanding).
