About Wesleyan Investment Foundation
The Wesleyan Investment Foundation is a not-for-profit, 501(c)3, church extension fund founded in 1946 by individuals who understood the unique dynamics of church financing. Our primary purpose and operations are providing loan assistance to churches and church-related entities so they can expand their facilities, purchase land, build, renovate or refinance current debt.
The Building Concierge provides a welcoming, secure, and highly responsive experience for guests, tenants, employees, vendors, couriers, and other building visitors. The role serves as the primary first point of contact for the building and maintains day-to-day oversight of the first-floor entrance, concierge desk, lobby, lounge, conference rooms, mail and package areas, and shared guest amenities.
This position combines white-glove hospitality with building operations, security awareness, front-line communication, and technology support. The Building Concierge must be comfortable moving between guest service, phone coverage, mail and package handling, conference room assistance, digital signage, tenant requests, building access, and other operational priorities while maintaining professional and consistent desk coverage.
Major Duties and Responsibilities
- Thoughtfully steward every impression of guests, tenants, employees, vendors, couriers, and other visitors entering the headquarters building.
- Greet each guest promptly, confirm the purpose of the visit, contact the appropriate host or suite, and provide clear arrival support.
- Provide white-glove hospitality, including offering refreshments, assisting with directions, and creating a warm and professional guest experience.
- Personally escort WIF guests to the secured third floor, use authorized badge access, and ensure a smooth handoff to the Office Communications Manager or appropriate WIF team member.
- Maintain consistent coverage of the first-floor concierge desk and coordinate coverage before stepping away for guest escorts, deliveries, breaks, meetings, or other responsibilities.
- Monitor lobby activity and security cameras, remain aware of building traffic, and promptly report suspicious activity, unauthorized access attempts, or safety concerns.
- Monitor access to the building and individual suites and never provide unauthorized access, lend a badge, or send a visitor into a secured area alone.
- Receive, research, sort, secure, and distribute mail, checks, confidential items, time-sensitive documents, packages, and courier deliveries accurately and promptly.
- Manage package notifications, the secure package room, and the smart locker parcel system, and deliver WIF packages to the appropriate WIF staff member.
- Receive tenant and internal maintenance requests, gather complete details, submit work orders through the approved property-management process, and follow up as needed.
- Coordinate conference room reservations and provide full meeting support, including room setup and reset, hospitality services, guest Wi-Fi, portable battery chargers, basic audiovisual assistance, and troubleshooting of conference room technology such as device connections, cameras, microphones, speakers, and screen sharing.
- Manage routine digital signage updates for lobby, conference room, and WIF suite displays, including welcome messages, directions, announcements, event content, and tenant information.
- Provide professional main-line phone coverage as assigned, gather the reason for each call, and accurately route callers using approved call-handling and reference guides.
- Support building events, tenant functions, all-team meetings, special guests, and hospitality needs, including room preparation, refreshments, signage, and post-event reset.
- Assist with the scheduling, access, use, and upkeep of shared amenities, including conference rooms, the lounge, fitness club, kitchenette, mother's room, and related guest services.
- Participate in building safety, emergency response, evacuation, shelter-in-place, and incident communication procedures as directed.
- Collaborate with the Office Communications Manager, Concierge Team, building management, IT, tenants, and internal departments to support smooth daily operations.
- Perform other duties and projects assigned by the Office Communications Manager or Executive Assistant to the CEO.
- Availability and flexibility to support team scheduling and coverage needs are essential requirements of this position.
