Responsibilities

  • Execute the Customer Experience Playbook to ensure consistency in visitor and employee experiences.
  • Maintain showroom and workplace readiness; spaces organized, functional, welcoming, and presentation-ready.
  • Answer and manage incoming front desk calls, directing to appropriate team members.
  • Coordinate customer visits, meetings, company events, and hospitality arrangements.
  • Manage scheduling, meeting setup, catering, visitor logistics, and event technology.
  • Coordinate facility concerns and issues with internal teams and external vendors.
  • Monitor and maintain office, beverage, hospitality, and facility supply inventories.
  • Support internal communications, including company announcements and employee updates.
  • Assist with development and coordination of monthly and annual AllStaff presentations.
  • Lead FunWorks Committee activities, budgets, communications, and event logistics.
  • Coordinate onsite and offsite industry events and initiatives.
  • Assist with external marketing efforts, including social media coordination, materials, and event support.
  • Receive and distribute mail, process packages, and coordinate courier services.
  • Manage company store orders and support fulfillment coordination.
  • Partner with departments, vendors, and leadership on special projects and workplace initiatives.

Position/Title: Customer Experience Concierge

Department: Admin

Reports to: Human Resources Director

Summary: Responsible for delivering a professional, positive, and memorable experience for customers and employees through premium hospitality, workplace coordination, and operational support. This role helps ensure the office, showroom, employee events, and workplace programs run smoothly and consistently reflect the company’s mission of Creating Great Places to Work.

Essential Functions
  • Execute the Customer Experience Playbook to ensure consistency in visitor and employee experiences
  • Maintain showroom and workplace readiness, ensuring spaces are organized, functional, welcoming, and presentation-ready
  • Answer and manage incoming front desk calls, including directing and forwarding calls to the appropriate team members
  • Coordinate customer visits, meetings, company events, and hospitality arrangements
  • Manage scheduling, meeting setup, catering, visitor logistics, and event technology
  • Coordinate facility concerns and issues with internal teams and external vendors
  • Coordinate facility and vendor contracts, including maintaining contract records, tracking renewal dates, supporting vendor relationships, and assisting with service coordination
  • Monitor and maintain office, beverage, hospitality, and facility supply inventories
  • Support internal communications, including company announcements, employee updates, and coordination of communication materials
  • Assist with the development and coordination of monthly and annual presentations for AllStaff meetings
  • Lead FunWorks Committee efforts, including coordinating committee activities, budgets, communications, and event logistics
  • Coordinate onsite and offsite industry-specific events and initiatives
  • Assist with external marketing efforts, including social media coordination, promotional materials, and event support

Knowledge, Skills, Abilities

Strong organizational, communication, and customer service skills, with the ability to create positive experiences for visitors and employees. The ability to multitask, manage shifting priorities, and maintain professionalism in a fast-paced environment. Strong written and verbal communication skills are, along with proficiency in Microsoft Office and the ability to learn additional software systems as needed. Creativity, attention to detail, and the ability to support both internal communications and external initiatives are essential.

Working Environment

This role operates primarily in a showroom environment with frequent interaction with employees, customers, vendors, and visitors. The position requires ongoing coordination across departments and may involve supporting meetings, events, and customer experiences throughout the facility.

Physical Demands

The role requires prolonged periods of sitting and working on a computer, along with regular use of phones and standard office equipment. Regular standing, walking, and light lifting of materials or supplies may be required.

Minimum Qualifications

High school diploma or equivalent required. Previous experience in customer service, hospitality, administrative support, or communications preferred.
