A service dispatcher in a service-related company plays a key role in coordinating field operations and ensuring efficient communication between customers, technicians, and internal teams. Their primary goal is to optimize scheduling and resource allocation while maintaining high levels of customer service.

Core Job Duties of a Service Dispatcher:

1. Scheduling and Dispatching

• Assign service calls or jobs to appropriate field technicians based on skill, availability, and location.
• Optimize routes and schedules to minimize travel time and maximize productivity.
• Adjust assignments in real-time based on emergencies, cancellations, or delays.

2. Customer Communication

• Receive incoming service requests via phone, email, or CRM software.
• Provide customers with appointment times, job status updates, and follow-up communication.
• Handle customer complaints or issues and escalated as needed.
• Relay job details, special instructions, or parts requirements to technicians.
• Monitor technician progress and ensure timely job completion.
• Serve as the main point of contact between technicians and the office.

4. Administrative Tasks

• Maintain accurate records of service calls, technician reports, and customer information.
• Prepare daily schedules, service logs, and reports for management.
• Verify job completion and ensure all documentation is returned properly.

5. Use of Software and Tools

• Track technician locations using GPS or mobile apps.
• Manage parts inventory or coordinate parts delivery if necessary.

6. Problem Solving and Coordination

• Respond to last-minute changes, emergencies, or delays with quick thinking and problem-solving.
• Coordinate with parts departments or external vendors as needed.
