Job description

Schedule: Monday–Friday, 8:30 AM–5:30 PM | 100% On-Site

An established, family-owned business is seeking a dependable, detail-oriented Bookkeeper / Office Operations Manager to support its day-to-day bookkeeping, administrative, and operational functions.

This is an excellent opportunity for an experienced bookkeeper who enjoys being hands-on, taking ownership of daily responsibilities, and working closely with sales, operations, customers, vendors, and ownership.

The role combines transactional bookkeeping with office management and operational support. The company is looking for someone who is organized, personable, accurate, and comfortable wearing multiple hats in a close-knit, entrepreneurial environment.

Importantly, this is not a full-cycle accounting or project accounting position. The focus is on AP, AR, transaction coding, purchase and sales orders, billing, deposits, collections, and general office and operational coordination. Candidates with a strong bookkeeping foundation are encouraged to apply, even without prior construction industry experience.

Key Responsibilities
  • Manage day-to-day accounts payable and accounts receivable activities.
  • Process and track purchase orders, sales orders, change orders, and related documentation.
  • Handle customer billing, including two-step billing processes, deposits, and collections.
  • Review transactions for accurate coding, job costing, and proper accounting period assignment.
  • Communicate with customers, vendors, sales, and operations teams regarding invoices, payments, orders, and outstanding items.
  • Monitor certificates of insurance (COIs) and maintain related documentation.
  • Assist with material tracking and general operational coordination.
  • Maintain accurate, organized financial and administrative records.
  • Utilize Excel for reporting, tracking, and reconciliations, including pivot tables and VLOOKUPs.
  • Provide general office management and administrative support to help keep daily business operations running smoothly.
Qualifications
  • Previous bookkeeping experience with a solid understanding of debits, credits, accounts payable, and accounts receivable.
  • Exceptional attention to detail, particularly with transaction coding, accuracy, and accounting periods.
  • Experience with purchase orders, sales orders, invoicing, billing, and collections preferred.
  • Construction, contracting, commercial interiors, millwork, or other project-based business experience is a plus, but not required.
  • Experience with Sage 100 is preferred, but not required.
  • Proficiency in Microsoft Excel, including pivot tables and VLOOKUPs.
  • Strong organizational skills and the ability to manage multiple priorities.
  • Personable communication style and confidence interacting with customers, vendors, ownership, and internal teams.
  • Reliable, proactive, adaptable, and willing to learn.
  • Comfortable working in a close-knit, entrepreneurial environment with a variety of personalities.
What This Role Is — and Isn't

This is a hands-on, transactional bookkeeping and office operations position. It does not involve general ledger ownership, journal entries, month-end close, balance sheet preparation, or full-cycle accounting.

The ideal candidate enjoys managing the details, keeping things organized, following through on outstanding items, and serving as a reliable point of contact for the day-to-day needs of the business.

The company is open to training someone on the industry and systems. Reliability, accuracy, strong communication skills, and a willingness to learn are the priorities.

  • Base salary: $85,000–$95,000, depending on experience.
  • Three weeks of PTO.
  • Health insurance.
  • Two company-paid company retreats.
  • Opportunity for professional growth into broader accounting, office management, and operations responsibilities.
  • Monday–Friday, 8:30 AM–5:30 PM.
  • 100% on-site in Uniondale, NY.
  • Established, family-owned business with a close-knit, collaborative team.

If you're a detail-oriented bookkeeper who enjoys variety, takes pride in accuracy, and wants to play an important role in keeping a business running smoothly, we'd love to hear from you.
