Job description

We are seeking a highly organized, proactive, and detail-oriented Bookkeeper/Office Manager to support our CEO and assist in firm operations. This is an in-person role based in Downtown Austin that blends administrative coordination with operational support. The ideal candidate will bring strong communication skills, a solutions-oriented mindset, and the ability to manage both bookkeeping responsibilities and operations management and with discretion and efficiency.

Key responsibilities include handling light bookkeeping tasks, managing office operations and supplies, managing calendars, coordinating travel, assisting with event planning (infrequent), and supporting communications with investors and hospitality guests. Regular tasks also include collecting mail, preparing bank deposits, shipping branded merchandise, and compiling financial or presentation materials. Familiarity with QuickBooks, Microsoft Office, Google Calendar, and web-based tools is essential.

Includes annual bonus, full medical, dental, and vision coverage.

Responsibilities

  • Perform daily bookkeeping tasks under the supervision of finance team
  • Support financial data preparation in Excel or QuickBooks
  • Coordinate ticket distribution and guest lists for events
  • Collect mail and deliver bank deposits weekly (all within two city blocks)
  • Prepare and ship branded gifts and merchandise weekly
  • Assist CEO with calendar management, meeting RSVPs, and reminders
  • Assist CEO managing travel and reservations
  • Assist with planning and hosting meetings or events (infrequent)
  • Maintain light office operations and supply inventory
  • Communicate with investors as directed by the operations and finance teams
  • Assist with presentation or pitch materials using PowerPoint or Adobe tools

Skills Required

  • Working knowledge of QuickBooks and general bookkeeping
  • Proficiency in Microsoft Office suite
  • Proficiency in Google Calendar and Gmail
  • Ability to learn new web-based tools and systems
  • Strong ability to multitask
  • Strong attention to detail, discretion, and a proactive work style
