We’re seeking a reliable and detail-oriented Office Administrator / Bookkeeper to join our team. This role will serve as the bridge between our senior leadership and our junior office administrator, taking ownership of daily financial tasks and ensuring our office workflow is smooth and efficient. You’ll have a key role in maintaining the accuracy of our financial records, supporting light HR functions, and managing the flow of critical paperwork throughout the office. This role is ideal for someone who’s naturally organized, enjoys a variety of office tasks, and can thrive with minimal oversight.

  • Review, validate, and pay vendor invoices and overhead expenses
  • Assist with customer accounting inquiries and invoice reconciliations
  • Perform basic bookkeeping tasks and data entry into our accounting systems
  • Monitor and track routine financial paperwork

Office Workflow & Administration (30-40%)

  • Organize and maintain daily files, including ship tickets, purchase orders, cash journals, and reconciled reports
  • Support internal audits and ensure compliance with company policies
  • Manage the flow of paperwork and ensure documentation is complete and accurate

General Office Support (20-30%)

  • Provide general support with phone and email communication as needed
  • Assist with onboarding paperwork and light HR documentation
  • Collaborate with other administrative team members to keep the office running smoothly

Qualifications:

  • 2-4 years of office administration or bookkeeping experience (or a similar combination of experience and education)
  • Strong attention to detail and a high degree of accuracy in managing financial records
  • Ability to independently manage daily tasks with minimal direction
  • Familiarity with bookkeeping or accounting software is a plus
  • Associate’s or Bachelor’s degree in business, accounting, or a related field is preferred
