Job description

We are seeking a detail-oriented Bookkeeper/Office Manager to oversee the administrative and financial operations of our construction business. This role encompasses bookkeeping, accounting, and general office management. You will be responsible for managing financial reports (Profit & Loss Statement, Balance Sheet, others by request), accounts payable and receivable, payroll, and maintaining accurate and organized financial records, while also ensuring the smooth day-to-day functioning of the office.

Your duties will include reviewing accounting records for accuracy, tracking invoices and payments, and maintaining an organized system for company documents.

This is a hybrid role, working in the office and working from home.

Key Responsibilities:

  • Financial Record Keeping: Maintain accurate and organized financial records, including posting transactions, reconciling bank statements, and preparing financial reports.
  • Accounts Payable & Receivable: Manage accounts payable by processing invoices and payments; oversee accounts receivable, including invoicing and collections.
  • Payroll: Process payroll, ensuring accurate payments, tax withholdings, and management of related benefits.
  • Office Management: Oversee general office operations, including ordering supplies, managing vendor relationships, and coordinating facility needs.
  • Administrative Support: Handle administrative tasks such as answering phones, managing mail, and providing general assistance as needed.
  • Financial Reporting: Prepare and present financial reports for management, including monthly and quarterly summaries.
  • Budgeting: Assist in creating and monitoring annual and program-specific budgets.
  • Tax Preparation: Support the preparation of federal and state tax returns and related documentation.
  • Compliance: Ensure compliance with accounting standards, company policies, and regulatory requirements.

Skills and Qualifications:

  • Bookkeeping & Accounting: Strong understanding of accounting principles and bookkeeping best practices.
  • Software Proficiency: Proficient in accounting software (e.g., QuickBooks), Microsoft Office Suite (Word, Excel, Outlook), and other relevant tools.
  • Organizational Skills: Highly organized with exceptional attention to detail and accuracy.
  • Communication Skills: Excellent written and verbal communication skills.
  • Problem-Solving: Ability to identify, analyze, and resolve accounting and operational issues.
  • Independence & Teamwork: Capable of working independently and collaboratively within a team.
  • Industry Knowledge (Preferred): Familiarity with construction industry practices and terminology is preferred.
  • Compliance Knowledge (Preferred): Experience with AIA documents and subcontractor compliance is a plus.
