Laredo Sports Medicine Clinic is seeking a dependable, organized, and detail-oriented Bookkeeper / HR Administrator to join our administrative team. This is a hands‑on position responsible for day-to-day bookkeeping, accounts payable, payroll processing, employee benefits administration, and HR recordkeeping.

Previous hands‑on QuickBooks and bookkeeping experience is required.

Responsibilities

Bookkeeping & Accounts Payable

• Maintain day-to-day bookkeeping records in QuickBooks.
• Enter and properly categorize bills, expenses, and financial transactions.
• Maintain accounts payable and vendor records.
• Prepare bills and payments for management review and approval.
• Issue payments after management approval.
• Maintain an understanding of recurring vendors, expenses, and normal payment schedules.
• Perform bank and credit card reconciliations.
• Identify discrepancies or unusual transactions and bring them to management's attention.
• Maintain organized financial records and supporting documentation.
• Provide records and information to the company's CPA as needed.

Payroll & HR Administration

• Process employee payroll based on timesheets approved and submitted by department managers.
• Process approved payroll changes, deductions, bonuses, new hires, and terminations.
• Maintain accurate payroll records.
• Maintain confidential employee personnel files.
• Coordinate new-hire paperwork and onboarding documentation.
• Maintain employee benefit enrollment and eligibility information.
• Assist employees with routine benefit questions.
• Assist with health insurance and retirement plan administration.
• Maintain employee PTO and time-off records using the company's existing tracking spreadsheet.
• Maintain required employee documentation and acknowledgments in accordance with the Employee Handbook.
• Assist management with other bookkeeping, HR, and administrative responsibilities as needed.

Required Qualifications

• Hands-on experience using QuickBooks for bookkeeping.
• Prior bookkeeping/accounting experience.
• Working knowledge of basic accounting principles.
• Experience with accounts payable and financial recordkeeping.
• Ability to perform bank and credit card reconciliations.
• Working knowledge of Microsoft Excel and general office software.
• Strong attention to detail and organizational skills.
• Ability to work independently and manage recurring responsibilities and deadlines.
• Good judgment, dependability, and professionalism.
• Ability to handle confidential financial and employee information appropriately.

Preferred, But Not Required

• Payroll processing experience.
• HR or employee benefits administration experience.
• Experience maintaining employee personnel and PTO records.
• Healthcare or medical office experience.

Who We're Looking For

We are open to candidates with different levels of overall experience. An experienced bookkeeper or HR professional who can quickly assume responsibility for the position is welcome. We will also consider a moderately experienced candidate who already has a solid QuickBooks and bookkeeping foundation and is interested in developing additional experience in payroll and HR administration.

A college degree is helpful but not required. Relevant experience, demonstrated ability, good judgment, dependability, and willingness to learn are more important to us.
