Job summary

Lubbock Surgery Center is seeking a reliable administrative professional to join our medical office team. You will greet patients, verify insurance, collect payments, and manage daily clerical tasks in a HIPAA-compliant environment.

Responsibilities include front-desk duties, data entry, and coordinating with clinical staff while maintaining patient confidentiality and accurate financial records. This role requires strong communication and organizational skills and a willingness to support

Qualifications

  • High School Diploma; additional qualifications will be a plus.
  • Must have insurance knowledge.
  • Excellent customer service and interpersonal communication.
  • Basic math and data entry accuracy.

Responsibilities

  • Greets patients and visitors in a helpful manner.
  • Checks in patients per clinic procedures and HIPAA.
  • Verifies insurance and informs patients of balances in EMR.
  • Collects payments for in-office visits and documents transactions.
  • Sets up payment arrangements and tracks progress.
  • Performs day-to-day admin tasks: filing, faxing, data entry.
  • Follow HIPAA and clinic policies; protect passwords.
  • Adhere to privacy protocols and HIPAA requirements.
  • Resolve patient complaints with appropriate escalation.
  • Maintain orderly waiting areas and front-desk areas.
  • Sort mail and distribute to appropriate staff.
  • Attend staff and clinical meetings as instructed.

Job description

Lubbock Surgery Center is a fast growing company that specializes in custom treatments that address the root causes of chronic pain, with the goal of reestablishing function in your everyday life. Our board certified pain management doctors understand that no two patients are the same and our individually constructed treatment plans are holistic and multidisciplinary. We don’t just treat symptoms, we create a treatment plan that gets you back to doing everything you love free of pain.

Duties and responsibilities
  • Welcomes and greets patients/clients/visitors in a manner that is helpful.
  • Properly checking in all patients following the clinic procedures and HIPAA requirements.
  • Verifies insurance and informs patients of any existing balances noted in the EMR systems a week prior to the patient's scheduled appointment.
  • Obtains payment for in office visits and properly documents all financial transactions to adhere to clinic standards.
  • Sets up via approved patient payment arrangements; tracks and monitors all patient payment arrangement to ensure accuracy and full payment.
  • Performs day-to-day administrative functions and general office duties including but not limited to copying, filing, faxing, and data entry.
  • Adheres to all clinic policies on safety and security; keeps computer system passwords strictly confidential.
  • Adheres to privacy protocols in accordance to clinic policies and procedures and HIPAA requirements.
  • Exercises problem-solving and conflict resolution skills when handling patient complaints; refers patient complaints to appropriate designated personnel.
  • Maintains patient waiting areas, office files, and front-desk areas in a manner that is organized.
  • Receives all incoming mail and packages and distributes to the appropriate personnel.
  • Attends scheduled department staff and clinical meetings as instructed.
  • Performs additional related duties as needed.

Working conditions
  • Operates computers, scanners, telephones, and additional office equipment.
  • Work a full 10-hour shift in an office medical setting beginning at 7:00AM
  • Must wear appropriate dress code attire in accordance to company policy and procedures.
  • Able to sit and stand for long periods of time.
  • Minimal lifting required with maximum of 50 lbs.
