Job summary

Ambient HVAC Parts Supply is seeking a Billing Specialist to ensure timely and accurate customer billing using Microsoft Dynamics 365 Business Central. You will focus on pricing accuracy, contract terms, tax application, and follow-up on open orders.

You will support operations, maintain precise financial records, and contribute to ad hoc billing projects while collaborating with Sales, Operations, and Finance teams to improve processes.

Qualifications

• 1-3 years of billing, accounts receivable, accounting, or related administrative finance experience preferred.
• Experience preparing customer invoices and verifying pricing, contract terms, and account information for accuracy.
• Basic understanding of sales tax application and customer billing practices.
• Proficiency with Microsoft Excel and other MS Office applications; experience with Dynamics 365 BC or similar ERP preferred.

Responsibilities

• Prepare, review, and issue customer invoices promptly in Business Central with pricing accuracy.
• Ensure sales taxes are calculated and applied correctly on invoices.

Position Summary

The Billing Specialist ensures timely and accurate customer billing using Microsoft Dynamics 365 Business Central, with a focus on proper pricing, contract compliance, correct sales tax application, and follow-up on open sales orders. This role supports the operations teams, maintains high standards of financial accuracy, and assists with ad hoc projects as assigned.

Key Responsibilities

• Prepare, review, and issue customer invoices promptly in Business Central, ensuring accuracy of pricing, contract terms, and account details.
• Ensure sales taxes are calculated and applied correctly on all customer invoices.
• Follow up on open sales orders to ensure timely billing and fulfillment.
• Manage billing discrepancies or disputes, investigating and resolving issues quickly and professionally.
• Collaborate with sales, operations, and finance teams to ensure proper billing for services, orders, and contracts.
• Support month-end close by completing all billing accurately and on time.
• Maintain organized and accurate billing records for reporting and audit purposes.
• Assist with ad hoc billing and accounting projects to support process improvements or special initiatives.

Requirements

• 1-3 years of experience in billing, accounts receivable, accounting, or a related administrative finance role preferred.
• Experience preparing customer invoices and verifying pricing, contract terms, and account information for accuracy.
• Basic understanding of sales tax application and customer billing practices.
• Proficiency with Microsoft Excel and other Microsoft Office applications; experience with Microsoft Dynamics 365 Business Central or a similar ERP/accounting system is preferred.
• Strong attention to detail and commitment to maintaining accurate financial records.
• Excellent organizational and time-management skills, with the ability to prioritize tasks and meet deadlines, particularly during month-end close.
• Strong written and verbal communication skills, with the ability to work professionally with customers and internal teams to resolve billing discrepancies.
• Ability to investigate issues, identify errors, and follow through on resolutions in a timely manner.
• Ability to work independently while collaborating effectively with sales, operations, and finance teams.
• Willingness to assist with additional billing and accounting projects and contribute to ongoing process improvements.
