Job summary

SmartRecruiters, Inc. is seeking a settlements specialist in Santa Ana, CA to manage freight settlement processes, AR/AP, and invoicing for multiple divisions. You will coordinate with customers, carriers, and headquarters to ensure timely and accurate billing and reporting.

The role requires strong Excel skills (VLOOKUP, pivot tables), effective communication, and the ability to work overtime when needed. Bachelor's degree and logistics experience preferred.

Qualifications

• AR & AP, Invoicing, Customer Service or Transportation/Logistics experience.
• Bachelor’s Degree required.
• Ability to quickly grasp situations to make decisions.
• Effective written and verbal communications.
• Proficient with Outlook and Microsoft Office applications; Excel skills preferred (VLOOKUP, Pivot).
• Ability to work overtime when needed.

Responsibilities

• Settlement for freight forwarding.
• Lead communications with customers and carriers.
• Prepare regular settlement status reports for management, customers, carriers and headquarters.
• Develop automated processes to reduce manual processing.
• Process customer billing accurately on or before deadlines per division policy.
• Manage, analyze & prepare correction forms for billing adjustments in Access.
• Review essential freight documents supporting charges invoiced and required for payment.
• Audit carrier freight bills and interpret tariffs and contracts.
• Work with internal technologies required for daily functions.
• Investigate and diagnose potential errors and duplicate carrier billing.
• Perform ad-hoc reporting, as required.
• Perform other job related duties as required.

Job description

• Responsible for settlement related to freight forwarding business
• Reinforce relationship with customers and carriers by leading effective and continuous communications
• Prepare regular settlement status report for management, customer, carriers and headquarters
• Improve the settlement processes by developing automated processes to reduce manual processing
• Process customer billing accurately on or before deadlines as per requirements and according to company policy for each division
• Manage, analyze & prepare correction forms for billing corrections in access database.
• Review and discuss essential freight documentation that supports charges invoiced and is required for payment.
• Use accounting knowledges & work experiences and possess understanding of how Billing functions affect P&L.
• Audit carrier freight bills and interpret tariffs and contracts
• Work with the internal technologies required for daily functions.
• Investigate and diagnose potential errors and duplicate carrier billing.
• Perform ad-hoc reporting, as required.
• Perform other job related duties as required

Qualifications
