Job summary

BrandSafway is seeking a Billing & Customer Support Representative for our office in Menands, NY. You will support day-to-day billing operations and provide exceptional customer service to internal and external customers.

The role balances administrative tasks, invoice processing, and front-desk duties in a fast-paced environment. You will ensure accuracy in billing, respond to inquiries, and collaborate with multiple departments to resolve issues.

Qualifications

• Basic knowledge of ERP systems, billing software, and Microsoft Excel.
• Experience processing invoices and maintaining accurate financial records preferred.
• Understanding of billing processes, accounts receivable functions, and financial documentation.

Responsibilities

• Greet and assist customers, visitors, and vendors at the front desk in a professional and friendly manner.
• Answer and direct incoming phone calls, emails, and customer inquiries.
• Generate and process invoices accurately and on time.
• Review billing data for accuracy and completeness prior to submission.
• Ensure proper application of pricing, discounts, taxes, and other billing requirements.
• Assist in reconciling billing discrepancies and researching errors.
• Maintain and update billing records within billing and financial systems.
• Support the preparation of billing reports, statements, and related documentation.
• Respond to customer inquiries regarding invoices, payments, account balances, and billing concerns.
• Collaborate with finance, sales, operations, and other departments to resolve billing discrepancies and customer issues.
• Provide billing documentation and support for audits and internal reviews.
• Assist customers with account-related questions and ensure a positive customer experience.
• Ensure compliance with company billing policies, financial regulations, and established procedures.
• Assist in identifying opportunities for process improvements and increased efficiency.
• Follow standard operating procedures and maintain accurate records of billing and customer service activities.
