Job summary

BrandSafway is seeking a Billing & Customer Support Representative to support daily billing operations and deliver exceptional service to internal and external customers. You will greet visitors, handle inquiries, and ensure accurate invoicing while balancing administrative and customer-service tasks in a fast-paced office setting.

The ideal candidate is detail-oriented, customer-focused, and versed in ERP systems and Excel with strong communication skills.

Qualifications

• High school diploma or Associate degree in Accounting, Finance, Business Administration, or a related field preferred.
• 0-2 years of experience in billing, accounts receivable, customer service, administrative support, or a related role; entry-level candidates are encouraged to apply.
• Basic knowledge of ERP systems, billing software, and Microsoft Excel.
• Experience processing invoices and maintaining accurate financial records preferred.

Responsibilities

• Greet and assist customers, visitors, and vendors at the front desk in a professional and friendly manner.
• Answer and direct incoming phone calls, emails, and customer inquiries.
• Generate and process invoices accurately and on time.
• Review billing data for accuracy and completeness prior to submission.
• Ensure proper application of pricing, discounts, taxes, and other billing requirements.
• Assist in reconciling billing discrepancies and researching errors.
• Maintain and update billing records within billing and financial systems.
• Support the preparation of billing reports, statements, and related documentation.
• Respond to customer inquiries regarding invoices, payments, account balances, and billing concerns.
• Collaborate with finance, sales, operations, and other departments to resolve billing discrepancies and customer issues.
• Provide billing documentation and support for audits and internal reviews.
• Assist customers with account-related questions and ensure a positive customer experience.
• Ensure compliance with company billing policies, financial regulations, and established procedures.
• Assist in identifying opportunities for process improvements and increased efficiency.
• Follow standard operating procedures and maintain accurate records of billing and customer service activities.
