Position Overview
We are seeking a detail-oriented Billing Coordinator to join a collaborative accounting team supporting attorneys across multiple practice areas and office locations. This role is responsible for the full attorney billing lifecycle, including preparing and editing pro formas, generating final invoices, managing electronic billing, ensuring compliance with client billing guidelines, and providing exceptional internal and external customer service.
The ideal candidate has prior experience with legal or professional services billing, thrives in a fast-paced environment, and can successfully manage multiple priorities while meeting strict deadlines.
Key Responsibilities
- Prepare, review, edit, and process attorney billing pro formas
- Generate and distribute final invoices accurately and on time
- Resolve e-billing rejections, disputes, and short-pay issues
- Ensure compliance with firm billing policies, client billing guidelines, and Outside Counsel Guidelines
- Review new client engagement letters for billing requirements and provide feedback when needed
- Review and approve new client and matter intake forms to ensure accurate billing setup, rates, discounts, and billing arrangements
- Create and maintain billing procedures for attorneys, clients, and matters with unique billing requirements
- Prepare accruals, budgets, billing schedules, status reports, and other client-specific reporting
- Compile supporting billing documentation as required
- Assist with testing and validating billing system enhancements and updates
- Communicate professionally with attorneys, clients, legal assistants, paralegals, and accounting staff
- Produce billing reports and ad hoc analyses as requested
- Assist with special projects and other accounting-related duties as needed
Qualifications
Required
- 1–3 years of billing, accounting, or related experience
- Strong understanding of billing and accounting processes
- Advanced proficiency with Microsoft Office
- Excellent attention to detail and organizational skills
- Strong analytical and problem-solving abilities
- Ability to prioritize multiple assignments and consistently meet deadlines
- Excellent written and verbal communication skills
- Strong customer service mindset and ability to work effectively with professionals at all levels
- Associate degree in Accounting or a related field (or equivalent experience)
Preferred
- Experience in a law firm or other professional services environment
- Experience with legal billing and electronic billing platforms
- Familiarity with Elite 3E or similar legal accounting systems
- Knowledge of eBillingHub and other electronic billing portals
- Bachelor's degree in Accounting, Finance, or a related field
