Job summary

IDEXX Veterinary Software is seeking a Business Support Specialist to join our Customer Experience division. This contract role focuses on order entry and billing for software subscriptions, ensuring accurate and timely billing while handling customer inquiries.

You will process contracts, maintain records per audit standards, and collaborate with cross-functional teams to improve billing processes. The role is based in Westbrook, ME with a hybrid work arrangement.

Qualifications

• High quality interpersonal skills with experience working with customers.
• Strong verbal and written communication and cross-functional collaboration.
• Comfortable discussing money or credit decisions with customers.
• Strong deductive reasoning and analytical skills to resolve issues.
• Attention to detail.
• Data analytics with intermediate Excel experience (SUM, VLOOKUP).
• Preference for SAP experience in order entry and reporting.

Responsibilities

• Communicate with customers about billing inquiries on monthly software invoices.
• Serve as Tier II of billing questions for customers.
• Record and track all customer-facing tasks and new contracts/orders.
• Review contracts for financial terms to ensure accuracy and compliance with policies.
• Enter contract data into internal systems and maintain electronic records.
• Reconcile invoice discrepancies and collaborate with internal teams to resolve issues.
