Thompson Concrete Management LTD is seeking an Onboarding Specialist to work with Recruiting and HR to ensure a seamless onboarding experience. You will coordinate onboarding from offer through day one, guide new hires through required paperwork, and serve as the primary contact for questions.

Spanish orientations will be conducted as needed. The role supports HR operations, verifies eligibility via E-Verify, and maintains onboarding data in the HRIS.

Qualifications

  • Associate degree or 2+ years HR/administrative experience preferred.
  • Experience with onboarding processes and HR documentation is a plus.

Responsibilities

  • Coordinate onboarding for new hires from offer to first day.
  • Guide new hires through onboarding paperwork and ensure timeliness.
  • Serve as primary contact for new hires and answer questions.
  • Schedule pre-employment requirements including drug screenings and background checks.
  • Verify documents and process new hires through E-Verify.
  • Assist with benefits enrollment and onboarding forms (I-9, W-4, Direct Deposit).
  • Conduct weekly onboarding orientations in Spanish as needed.
  • Maintain employee data in HRIS and onboarding systems.
  • Coordinate onboarding schedules with managers and departments.
  • Provide translation between English and Spanish as needed.

Job Summary:

The Onboarding Specialist works closely with Recruiting, hiring managers, and the Human Resources team to ensure a seamless onboarding experience and compliance with all pre-employment and new hire processes. This position reports directly to the Recruitment Manager.

Duties/Responsibilities:
  • Follows Mission, Vision, Values
  • Coordinates onboarding for all newly hired employees from offer acceptance through their first day.
  • Guides new hires through the onboarding process and ensures all required employment documentation is completed accurately and on time.
  • Serves as the primary point of contact for new hires, answering questions and providing support throughout the onboarding process.
  • Schedules and monitors all pre-employment requirements, including drug screenings, background checks, and Motor Vehicle Record (MVR) requests.
  • Verifies all required employment eligibility documentation is received and accurately completed to process new hires through E-Verify.
  • Assists new hires in completing and understanding all onboarding paperwork, including Form I-9, Form W-4, Direct Deposit Authorization, benefits enrollment, and other required onboarding documents.
  • Conducts weekly new hire orientations in Spanish as needed to ensure Spanish-speaking employees fully understand company policies, procedures, safety requirements, and available benefits.
  • Maintains employee information within the HRIS and onboarding systems, ensuring data accuracy and confidentiality.
  • Coordinates onboarding schedules with hiring managers and department leaders.
  • Performs general administrative duties to support Human Resources operations, including maintaining records, preparing documents, and scheduling meetings.
  • Assists with HR projects and process improvements related to onboarding and employee experience.
  • Provides verbal and written translation between English and Spanish as needed.
  • Performs other duties as assigned.
Required Skills/Abilities:

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).

Education and Experience:
  • Associate's degree in Human Resources, Business Administration, or related field preferred.
  • (OR) 2+ years of Human Resources, recruiting, or administrative experience preferred.
Physical Requirements:
  • Prolonged periods of sitting.
  • Ability to reach, bend, or stoop.
  • Occasional standing and walking within the office environment.
  • Ability to lift and carry up to 15 pounds.
