The Benefit Underwriting Administrative Coordinator supports the underwriting team by overseeing and executing key administrative and operational functions that ensure a smooth and efficient underwriting process. This role involves monitoring workflows, maintaining data integrity, managing system updates, coordinating submissions, supporting cross-functional communication, and ensuring timely delivery of reports. The coordinator acts as a key liaison between underwriting, sales support, operations, and implementation teams, alerting management to process gaps or delays and helping to remove administrative burdens from underwriters.
Essential Duties and Job Requirements
Underwriting Systems & Process Coordination
- Monitor the end-to-end underwriting process to ensure timely execution and identify any delays or issues requiring escalation.
- Maintain and update underwriting tools, guidelines, and systems with current plans, premiums, and policies to ensure alignment with business needs.
- Support the accuracy of benefit plan network setups based on onboarding prospect client needs.
- Act as the primary coordinator of underwriting tasks, reviewing priorities and deadlines, and maintaining visibility for leadership.
Data Integrity & Submission Coordination
- Oversee the collection, validation, and organization of underwriting submissions and supporting documentation to ensure completeness and accuracy.
- Act as the central contact for data submission-related inquiries from Sales Coordinators and CogNet, providing clarification or escalating as needed.
- Support underwriting by conducting audits of submissions placed on hold to ensure resolution and compliance with underwriting requirements during peak periods.
- Ensure all submissions are accurately recorded and maintained in an underwriting system as well as internal CRM.
Reporting & Vendor Coordination
- Distribute regular census, enrollment, and performance reports to internal stakeholders and third-party vendors.
- Maintain an underwriting dashboard with key metrics and reporting for leadership review.
- Monitor system submissions and billing to ensure accuracy as needed.
- Track SLA adherence from underwriting vendors and manage annual system updates for renewal and plan data changes.
Cross-Functional Collaboration & Administrative Support
- Partner closely with underwriters, sales support, implementation, and operations teams to ensure efficient communication and handoffs throughout the underwriting and onboarding process.
- Remove administrative tasks from underwriters by managing the sold section of new groups and verifying that all deal-closing documentation (e.g., PEOQs) is complete.
- Facilitate smooth client onboarding by confirming that all underwriting contingencies are resolved, and that data is accurately entered for implementation.
Other Duties and Responsibilities
Provide general administrative support for the underwriting team and agency during renewal, including:
- Data and document management
- Process oversight
Minimum Qualifications
- Education: Associate’s Degree or equivalent experience in insurance, healthcare, or underwriting support preferred.
- Experience: Minimum of 2 years in an administrative or operational support role within underwriting, insurance, or benefits.
- Technical Skills: Proficiency in Microsoft Office (especially Excel); familiarity with payroll, CRM, or underwriting systems such as Client Space, Prism, RAPT, Milliman CURV, and Gradient SAIL is a plus.
- Detail-Oriented: Strong aptitude for data accuracy, documentation management, and process oversight.
- Communication & Organization: Effective at coordinating across teams, managing multiple priorities, and ensuring alignment on deliverables in a deadline-driven environment.
Compensation
The hourly range for this position is listed below. Salary may vary based on regional location, the candidate’s skill, and relevant experience. Some positions may include bonuses or other incentives, not included in this range.
Hourly: $24.04/hr - $28.85/hr
