Job summary

Jobtailor seeks a Scheduling Assistant to join our behavioral health team in Clinton, MT. You will handle high-volume calls, schedule and reschedule appointments across multiple providers and locations, verify client information, and document care details with HIPAA compliance.

You will collaborate with front desk and clinical staff, coordinate interpreters when needed, and follow up on missed appointments to ensure timely access to services. High school diploma required.

Qualifications

• High School/GED preferred.
• Experience with behavioral health scheduling preferred.
• Experience with multi-line phone systems preferred.
• Clear and kind communication, especially over the phone.
• Ability to stay calm and organized in a high-call-volume setting.
• Detail-oriented and confident working across multiple systems and screens.
• Teamwork and collaboration with clinical and administrative staff.
• Positive, professional attitude and commitment to helping others.
• Maintain confidentiality and uphold HIPAA compliance.

Responsibilities

• Answer high volume of incoming calls and assist clients with scheduling, rescheduling, and general inquiries.
• Schedule appointments for multiple behavioral health providers across various locations.
• Verify and update client information, including contact details and insurance.
• Explain the Open Access process to clients seeking to begin services.
• Accurately document call details and update the care team accordingly.
• Coordinate interpreters when needed for scheduled appointments.
• Follow up with clients who missed appointments to assist with rescheduling.
• Manage Psychiatry Provider schedule changes, cancellations, and backfilling appointments.
• Collaborate with front desk and department staff to ensure scheduling accuracy.
• Maintain confidentiality and uphold HIPAA compliance at all times.
