Job summary

Black Bear Casino Resort in Minnesota is seeking an experienced Banquet Coordinator to manage events from client intake to post-event invoicing. The role requires coordinating schedules, logging requests, and ensuring accurate BEOs and room setup.

Qualifications

• Three to five years of experience in the Food and Beverage field and at least one year experience in catering sales, convention services or administrative experience is required.
• Strong organizational abilities and communication skills are required.
• Ability to manage multiple demands with great ability to improvise and prioritize.

Responsibilities

• Receive information and schedules banquets, parties, meetings, etc.
• Coordinate, advise and make recommendations for a banquet/event based on client request.
• Inspect and approve the setup of function rooms and ensure proper decor and service.
• Log banquet/meeting requests into the event calendar and prepare BEOs for dissemination.
• Develop a checklist for the coordinator and client meeting when preparing the event agenda.
• Meet with function group leaders to discuss last-minute changes and setups.
• Attend meetings to discuss BEOs, service guidelines and execution standards.
• Work closely with clients before, during and after events.
• Maintain knowledge of menu pricing, room pricing, AV capacities and related information.
• Deliver invoices to clients and internal departments per policy.
• Maintain professional relationships with team members and the management team.
• Deliver and pickup items to fulfill banquet orders as directed.
• Follow cash handling procedures and internal controls.
