Qualifications

Responsibilities

  • Assist in the daily management of two commercial office properties.
  • Serve as a primary point of contact for tenants, vendors, and visitors.
  • Conduct routine property inspections to ensure appearance and operations.
  • Coordinate tenant move-ins and move-outs.
  • Manage building signage and reserved parking assignments.
  • Coordinate events, meetings and related activities.
  • Support life safety initiatives and emergency preparedness.
  • Foster tenant relationships through responsive service.
  • Coordinate and oversee contracted services (janitorial,... elevator maintenance).
  • Track vendor certificates of insurance and permits.

A well-established commercial real estate owner and management company is seeking an Assistant Property Manager to support the day-to-day operations of two premier Class A office properties located in Houston's prestigious Galleria/Uptown area. Eligible for annual incentive compensation of up to 10% of base salary

Position Summary

The Assistant Property Manager partners closely with the Property Manager to ensure exceptional tenant service, maintain building operations, oversee vendors, support financial performance, and help maximize the value of each property. This role is ideal for someone who enjoys balancing operations, customer service, project coordination, and financial administration in a fast-paced commercial real estate environment. The position is responsible for supporting all aspects of commercial office property management, including operations, tenant relations, budgeting, maintenance coordination, lease administration, and vendor management.

Key Responsibilities
  • Assist in the daily management of two commercial office properties.
  • Serve as a primary point of contact for tenants, vendors, and visitors.
  • Conduct routine property inspections to ensure building appearance and operational excellence.
  • Coordinate tenant move-ins and move-outs.
  • Manage building signage and reserved parking assignments.
  • Coordinate special events, meetings, and property-related activities.
  • Support life safety initiatives, including Fire Warden coordination and emergency preparedness.
  • Foster exceptional tenant relationships through responsive customer service and proactive communication.
  • Coordinate and oversee contracted building services, including: Janitorial, Landscaping, Waste removal, Parking operations, Window cleaning, Pest control, Elevator maintenance, Car wash services
  • Track vendor certificates of insurance and property permits.
  • Coordinate with engineering, security, and maintenance teams to ensure efficient building operations.
  • Assist in negotiating and administering vendor service agreements.
  • Build and maintain strong relationships with tenants by providing outstanding customer service.
  • Respond promptly to tenant requests and work to ensure issues are resolved efficiently.
  • Assist with lease administration and maintaining tenant files.
  • Prepare bid proposals, service contracts, and related documentation.
  • Compose tenant communications and property notices as needed.
  • Assist with annual operating budgets and budget reforecasts.
  • Prepare financial reports and year-end analyses.
  • Review accounts receivable and assist with collections.
  • Code and process invoices accurately.
  • Manage parking validation billing and janitorial expenses.
  • Track HVAC charges, parking fees, and administrative billing.
  • Maintain organized electronic and hard-copy property records.
  • Assist with management reports, business plans, and presentation materials.
  • Support Property Managers with special projects and operational initiatives.
  • Assist with client events and team-building activities.
  • Help prepare presentation materials for ownership and tenant meetings.
  • Perform additional duties as assigned to support overall property operations.
Qualifications

  • Associate's or Bachelor's degree preferred, or equivalent combination of education and experience

Technical Skills
  • Microsoft Office Suite (Excel, Word, Outlook, PowerPoint)
  • Experience with commercial property management software such as Yardi, MRI, or AMSI is a plus.
